Preschool Administration CoordinatorHiggins - San Antonio, TX 78217OverviewSalary Range $44,292.88 - $66,439.32 Salary Position Type Full Time Job Shift Typically, M-F 8am to 5pm Education Level 2 Year Degree Travel Percentage 1%-10% Category Admin - ClericalDescriptionPreschool Administration CoordinatorGeneral Description Of PositionThe Preschool Administration Coordinator supports the operational and administrative needs of Brighton's Preschool program. This position ensures compliance with regulatory agencies, coordinates staff scheduling and professional development, maintains accurate records, and organizes events across both locations. Acting as a key resource for staff and families, this role ensures smooth day-to-day operations and supports classroom environments as needed.

The coordinator works closely with the Preschool Site Manager to foster a high-quality, inclusive, and engaging program for all children.Essential FunctionsThis position requires face to face interactions with staff, board, vendors, and the general public on a daily basis to accomplish all essential functions of the position.Compliance & Administration (50%)Maintain accurate child files, including enrollment records, immunizations, and developmental assessments.Ensure staff files are compliant, including certifications, training records, and signed documentation.Monitor compliance with licensing, TRS, and NAEYC standards, ensuring accurate recordkeeping and timely submissions.Oversee the creation and maintenance of portfolios for accreditation and quality standards.Facilitate safety drills, inspections, and improvement plans.Generate monthly reports for attendance, meals, and staff rosters.Liaise with facilities staff to maintain clean, safe indoor and outdoor spaces.Operational Support (30%)Develop and manage weekly and monthly staff schedules in collaboration with the Preschool Director.Open and close preschool centers as needed, ensuring readiness and security.Assist the Director of Preschools with enrollment tasks, including conducting tours, managing inquiries, and overseeing the pre-enrollment process.Support the slow enrollment process by scheduling visits, coordinating logistics, and ensuring all required paperwork is completed accurately.Act as a point of contact for families and the Preschool Inclusion Team, fostering strong communication and support.Plan and execute events for both locations, fostering family engagement and community involvement.Coordinate and distribute newsletters, including center-wide and location-specific editions.Professional Development (10%)Coordinate and schedule professional development opportunities for staff, ensuring alignment with program goals and regulatory requirements.Organize and facilitate staff meetings, providing agendas and follow-up documentation.Track participation in professional development and ensure timely completion of training.Financial Support (10%)Help develop and monitor expenses to ensure they remain within budget.Implement labor management processes, including staff schedules and rosters.Maintain accurate financial records, including forms and tuition payments.QualificationsRequired: Bachelor's degree in Early Childhood Education (ECE) or a closely related field or Five years of experience in: Licensed childcare center, Special education setting, Early childhood program or Family-centered service organization.Required: Two years' experience working with individuals with special needs, delays and/or vulnerable populations who have chronic or complex conditions.Preferred: Two – Four years of professional teaching experience; supervisory experience is preferred.Necessary SkillsEmbodiment of Core Values: Demonstrates and applies our core values in all aspects of the role.Developmentally Appropriate Practices: Implements age-appropriate learning activities and strategies that align with program goals.Independent & Collaborative Work: Manages multiple projects, prioritizes effectively, and collaborates seamlessly with colleagues.Effective Communication: Clearly communicates (written and verbal) with families, staff, and community partners.Teamwork & Conflict Resolution: Fosters collaboration, addresses challenges constructively, and seeks timely solutions.Technology Proficiency: Proficient in Microsoft Office Suite and potentially Adobe products.Child Development Expertise: Interacts with children in a sensitive and responsive manner, adapting approaches to individual needs.Continuous Learning: Demonstrates motivation to learn and grow in the field of early childhood education.Professionalism & Respect: Relates to parents and colleagues with respect, openness, and flexibility.Professional Conduct: Maintains ethical, responsible, and professional behavior.Regulatory Compliance: Understands, interprets, and applies relevant rules and regulations.Physical Ability: Lifts, moves (up to 40 pounds) and supervises children safely in various weather conditions.
