Own and administer non‑exempt bi‑weekly payroll and exempt semi‑monthly payroll: validating timekeeping & overtime data, ensuring all salary changes, new hires, terminations, and adjustments are captured correctly before each submission deadline.
Liaison with Sales Ops and Finance to validate and add commissions and expense reimbursements to applicable payrolls.
Perform pre‑submission audits each cycle; catch and resolve discrepancies before the PEO processes the payroll.
Serve as the initial point of contact for employee payroll questions; escalating to internal or PEO resources to resolve issues with urgency and discretion.
Maintain organized payroll entry records; ensure the audit trail is clean and complete.
Stay current on changes to non‑exempt and exempt classifications that affect payroll calculations; flag impacts to the People Ops leadership (tax filings and reporting are handled by the PEO).
Own and execute People operations programs within your regional scope - including identifying inefficiencies and continuously improving processes.
Maintain HRIS data integrity across employee records, org hierarchies, and position data; audit regularly and remediate errors proactively.
Interpret and apply company policies and regional compliance requirements; flag unusual circumstances and propose solutions.
Own all employee lifecycle transactions (new hires, transfers, promotions, leaves of absence, and offboarding) ensuring accuracy, compliance, and timeliness across all regions.
Manage onboarding and offboarding logistics end‑to‑end: new hire communications, Day 1 checklists, swag procurement, system access, equipment retrieval, separation documentation, and PEO payroll and benefits offboarding.
Serve as the first point of contact for employee benefits questions; triage inquiries, connect employees to our PEO and carrier resources, and follow through until resolved.
Coordinate qualifying life events and open enrollment activities in partnership with our PEO. You don't need to be a benefits expert, but you need to be a resourceful problem‑solver.
Manage leave of absence (FMLA, state‑specific, and company leaves): track entitlements, coordinate leave‑pay inputs with payroll, and liaise with vendors.
Research and summarize pertinent facts needed to support HR compliance reviews; stay current on relevant federal, state, and local employment law changes.
Maintain compliant employee files and documentation in accordance with regional regulatory requirements.
Support annual compliance filings (EEO‑1, ACA, state‑specific) and ensure required employment postings are current across all locations.
Actively identify and propose improvements to data governance standards and reporting processes.
Collaborate with People Business Partners to ensure operational execution aligns with BP‑led decisions on leveling, performance, and employee relations.
Coordinate with IT on new hire access provisioning and system integrations; ensure IT is looped in on equipment handoffs at onboarding and offboarding (procurement and logistics are owned by IT).
Lead or contribute to larger team projects that have a significant impact on the People team's goals, including leading small cross‑functional workgroups.
Ensure that People Operations goals are appropriately prioritized in cross‑functional projects.
Requirements
A minimum of 5 years of related HR experience with a Bachelor's degree; or 3 years with a Master's degree.
Hands‑on payroll entry experience across multiple cycles and employee populations (exempt and non‑exempt).
Exceptional comfort with numbers and spreadsheets – you catch errors in a data set before others notice something is off.
Working knowledge of US wage‑and‑hour law.
HRIS administration experience required (Workday, Rippling, BambooHR, or equivalent).
Strong understanding of US employment law and HR best practices.
Strong proficiency in Google Suite and exemplary skills in Microsoft Excel; comfort learning new technical systems quickly.
Experience in a high‑velocity environment.
Bonus: Previous experience in a software/technology company.
Experience working with a PEO (TriNet, Rippling, Justworks, or similar).
