PEIMS Specialist

Job Description

Primary Purpose: Under moderate supervision, coordinate the collection and reporting of district Public Education Information Management System (PEIMS) data.

Qualifications

  • Education/Certification: High school diploma or GED
  • Special Knowledge/Skills:
    • Maintain accurate and auditable records.
    • Use a personal computer and software to develop spreadsheets, perform data analysis, and do word processing.
    • Proficient in keyboarding, 10‑key numerical data entry, and file maintenance skills.
    • Perform basic math.
    • Meet established deadlines.
    • Strong organizational, communication, and interpersonal skills.
    • Understand detailed written or oral instructions.
    • Knowledge of student information system software.
    • Knowledge of Public Education Information Management System (PEIMS).
    • Knowledge of the Texas Public Information Act (TPIA).
    • Knowledge of the Family Educational Rights and Privacy Act (FERPA).
    • Fundamental principles of data analysis, including statistical and mathematical computations and measurements.
    • Interpret data.
  • Experience: 3 years of experience in a school district administrative support position requiring the collection and entry of data.

Major Responsibilities and Duties

  • Records and Reports:
    • Facilitate the collection, integration, and formatting of all data required for PEIMS submission in accordance with the Texas Education Agency's PEIMS Data Standards.
    • Work cooperatively with campus, business office, and personnel office staff to collect, organize, and format data required to submit district PEIMS data in accordance with prescribed state deadlines.
    • Run edits, reports, and verification checks on data to ensure accuracy of information. Distribute edits and reports to appropriate staff for analysis, verification, and correction.
    • Submit complete and accurate PEIMS data in the TEA‑prescribed format to the education service center (ESC) for processing using a computer terminal or a personal computer.
    • Verify data submitted to TEA and submit corrections in a timely manner.
  • Training and Technical Support:
    • Provide training and support to campuses and to business and personnel office staff responsible for processing PEIMS data.
    • Provide excellent customer service and support to parents, community members, district, and campus staff.
    • Receive PEIMS‑related information from ESC and TEA, attend all regional PEIMS workshops, and disseminate information to other staff in a timely manner, including updates to PEIMS Data Standards.
    • Attend all Texas Education Agency and Regional Service Center PEIMS training sessions and disseminate information to appropriate staff.
  • Other:
    • Comply with policies established by federal and state law, State Board of Education rule, and local board policy.
    • Compile, maintain, and file all reports, records, and other documents as required.
    • Maintain confidentiality at all times.
    • Follow district safety protocols and emergency procedures.
  • Supervisory Responsibilities: None.

Physical and Environmental Factors

  • Tools/Equipment Used: Standard office equipment, including a personal computer and peripherals.
  • Posture: Prolonged sitting; occasional bending/stooping, pushing/pulling, and twisting.
  • Motion: Repetitive hand motions, frequent keyboarding, and use of the mouse; occasional reaching.
  • Lifting: Occasional light lifting and carrying (less than 15 pounds).
  • Environment: Frequent district‑wide travel; occasional statewide travel; may require occasional irregular and/or prolonged hours.
  • Mental Demands: Work with frequent interruptions; maintain emotional control under stress.
