Payroll Administrator (Temporary Assignment Through April 2027)
Position Summary
The Payroll Administrator is responsible for the accurate and timely processing of bi-weekly payroll while providing administrative support to the Human Resources department. This role maintains employee payroll records, assists with benefits administration, supports compliance and audit activities, and ensures confidentiality of all employee information. The ideal candidate is highly organized, detail-oriented, and experienced in payroll systems, preferably ADP.
Key Responsibilities
Payroll Administration
- Process and organize bi-weekly payroll, ensuring accuracy and compliance with company policies.
- Download, review, and enter payroll timesheets, incentives, bonuses, commissions, and other compensation or deduction data into the payroll system.
- Process monthly sales commissions and incentive payments.
- Assist with payroll voucher downloads and payroll reporting.
- Process special payroll runs, including fiscal year-end bonus payrolls and other off-cycle payrolls.
- Distribute bi-weekly payroll-related reports, including:
- General ledger reports to Accounting
- 401(k) reports to Principal and ADP
- Monthly employee census reports to management
- Maintain employee payroll records and data within the ADP system.
- Enter insurance benefit enrollments and updates into ADP.
Human Resources Support
- Prepare onboarding packets and documentation for new hires.
- Assist with employee onboarding and termination processing.
- Maintain employee personnel files and ensure accurate recordkeeping.
- Build and maintain employee tracking spreadsheets, including census, vacation, and other HR-related records.
- Provide clerical and administrative support to the Human Resources department as needed.
- Assist with gathering and preparing payroll and employee data for annual audits, including 401(k) and payroll audits.
- Coordinate and support expatriate payroll administration with Kito Japan and EOS.
Administrative Support
- Maintain organized filing systems and employee records.
- Serve as backup support for the switchboard/receptionist as needed.
- Serve as backup support for the mailroom clerk as needed.
- Maintain strict confidentiality regarding all employee and payroll information.
- Demonstrate strong interpersonal skills and collaborate effectively as a member of the HR and administrative team.
Qualifications
Required
- High school diploma or equivalent.
- Strong proficiency in Microsoft Office Suite, particularly Excel, Word, and Outlook.
- Excellent organizational skills and attention to detail.
- Strong verbal and written communication skills.
- Excellent customer service and phone etiquette.
- Ability to handle sensitive and confidential information with discretion.
Preferred
- Previous payroll and/or Human Resources experience.
- Experience working with ADP payroll and HR systems.
- Knowledge of payroll processing, benefits administration, and employee record management.
- Experience processing payroll taxes.
