Job Description

Pay Range: $19 - $22/hr

Scope: Depending on current staffing needs, priorities may differ for filling Reception or Telephone Operator duties. Hired with the intent to perform both positions as needed.

Reception

  • Obtain all appropriate forms as required.
  • Verify and obtain demographic and insurance information. Obtain copy of patient’s insurance cards and current driver's license for file. Update demographic and insurance information as needed in the system.
  • Confirm all new patient paperwork, address patients’ needs that walk in with or without an appointment.
  • Collect co‑pays, deductible and other out of pocket amounts at time of visit. Issue receipts as necessary.
  • Handle postage to outgoing mail, pick up mail from the mailbox, open, date, distribute, and address envelopes as needed.
  • Identify no shows and forward for patient notification (per policy). Notify necessary staff of any late or early arrivals.
  • Prepare correspondence, memos, forms, and other typing as requested by supervisor. Print schedules as needed.
  • Verify end of day balance and cash out, fill out and date deposit slip. Responsible for accurate account of money in the cash box and lock its contents in the site safe.
  • Responsible for batching out at the end of each shift and closing any monetary drawers at the end of each business day.
  • Maintain lobby area in a neat and orderly manner.
  • Follow policies and procedures to contribute to the efficiency of the front office.
  • Meet appropriate metrics and a checklist provided by supervisor.
  • Arrange for patients to have financial counseling as needed.
  • Other duties as assigned. Cover other front office functions as requested.
  • Float as needed and cross cover sites remotely.

Telephone Operator

  • Answer all incoming calls promptly, courteously, and professionally. Send messages to the correct distribution group.
  • Provide a pleasant and helpful phone contact for callers.
  • Take and relay messages accurately and in a timely manner.
  • Respond to emergency and urgent calls from patients efficiently. Direct callers immediately to clinical staff as necessary.
  • Answer all third‑party service calls and messages.
  • Perform functions including triaging calls, connecting/transferring calls, setting up conference calls, instructing users on telephone procedures, and reporting telephone/equipment malfunctions to the appropriate party.
  • Responsible for rolling phones on and off night service.
  • Basic scheduling understanding.
  • Meet appropriate metrics and a checklist provided by supervisor.
  • Arrange for patients to have financial counseling as needed.
  • Other duties as assigned. Cover other front office functions as requested.
  • Float as needed and cross cover sites remotely.

Minimum Qualifications

High school diploma or equivalent required. Position is entry level and requires 0‑3 years experience, preferably in a medical setting.

Work may require sitting for long periods of time, stooping and bending/stretching for files and supplies. Requires occasional lifting of files or paper weighing up to 30 pounds. Requires manual dexterity sufficient to operate a keyboard, calculator, telephone, copier and other office equipment. Vision must be correctable to 20/20 and hearing must be in the normal range for telephone contacts.
