Job Description

The Patient Services Coordinator provides total medical office support including registration and scheduling functions, managing reception, patient insurance collection, co‑pay collection, and appointment scheduling.

Essential Functions

  • Answer phones and greet patients courteously.
  • Route calls/messages to appropriate departments.
  • Conduct patient check‑in, check‑out, and medical record updates per policy.
  • Preceptor to newly hired staff.
  • Track patients in the EHR to ensure continuity of care.
  • Obtain pre‑registration, demographic, and insurance information and enter into PM/EHR.
  • Screen eligible patients for distress.
  • Collect co‑payments at time of service and complete end‑of‑day deposits.
  • Follow up on canceled or missed appointments.
  • Schedule internal and external appointments.
  • Run daily reports to identify unscheduled orders.
  • Perform tasks related to Governmental, Insurance and Quality Initiative Programs.
  • Generate and distribute Clinical Summaries to external providers.
  • Assist with Patient Engagement Portal registration.
  • Coordinate with pre‑certification team for urgent cases and denial/peer‑to‑peer requests.
  • Ensure billing documents are faxed with diagnostic orders for study patients.
  • Prepare EHR for next provider visit and obtain necessary records beforehand.
  • Open and distribute mail as needed and electronically scan/import records.
  • Distribute outbound correspondence or copies of records.
  • Demonstrate excellent customer service and respond promptly to requests.
  • Communicate with staff using Instant Messaging System.
  • Perform other duties as assigned.
  • Travel/float to other clinics for business needs.
  • Maintain confidentiality of patient information.
  • Adhere to all Tennessee Oncology policies and procedures.

Education and Experience

  • High school graduate or equivalent with GED.
  • Within 90 days: competency on registration and scheduling, and Electronic Medical Records.
  • 5+ years of professional office customer‑service experience.
  • Strong computer skills, including Windows file management, MS Office, and e‑mail.
  • Excellent verbal and written communication skills.
  • Ability to work productively in a fast‑paced environment.
  • Strong organizational skills and attention to detail.
  • Excellent customer service skills.

Physical Requirements

  • Able to travel to satellite clinics when necessary.
  • Able to lift 25 pounds.
