Parts Ordering SpecialistThe Parts Ordering Specialist is responsible for sourcing, ordering, and managing parts inventory to support a diverse fleet of heavy equipment, on-road trucks, and construction operations including asphalt paving, grading, milling, concrete, and underground utilities. This role is critical to minimizing downtime, ensuring efficient field operations, and maintaining strong vendor partnerships.Other Requirements: All candidates are required to pass a thorough Background Check, Physical and Drug Test. We participate in E-Verify.Parts Sourcing & ProcurementSource and order parts for a wide range of equipment, including:Asphalt paving equipment (pavers, rollers)Milling machinesGrading equipment (dozers, graders, skid steers)Concrete equipment and toolsUnderground/utility equipmentHeavy-duty trucks and trailersIdentify correct parts quickly using manuals, systems, or vendor supportProcess purchase orders and ensure timely and accurate orderingInventory ManagementMaintain optimal inventory levels of critical and high-use parts across multiple equipment typesOrganize and track parts by category (fleet, shop, plant, job-specific, etc.)Monitor stock usage trends and adjust ordering patterns accordinglyConduct periodic inventory counts and reconcile discrepanciesCoordination with Operations & MaintenanceWork closely with mechanics, shop supervisors, and field leaders to:Identify urgent and upcoming parts needsPrioritize orders based on operational impactRespond quickly to equipment breakdowns and emergency requestsSupport planning for seasonal work, large jobs, and shutdown maintenanceVendor Management & Cost ControlBuild and maintain strong relationships with multiple vendors across equipment typesCompare pricing, availability, and lead times to ensure best valueNegotiate pricing where appropriate and identify cost-saving opportunitiesTrack vendor performance (delivery reliability, quality, responsiveness)Tracking & DocumentationMaintain accurate records of:Orders, receipts, and invoicesPart numbers and cross-referencesVendor information and pricingEnsure proper coding/allocation of parts to jobs, departments, or cost centersProcess ImprovementIdentify opportunities to:Standardize commonly used partsReduce duplicate or obsolete inventoryImprove ordering efficiency and turnaround timeSupport implementation of systems (ERP, fleet management, or inventory tools) to streamline workflowsPreferred Education and Experience:Valid driver's license with acceptable driving recordAbility to operate pickup trucks or light?duty vehicles safely2–4+ years experience in parts ordering, inventory, or maintenance supportStrong familiarity with heavy equipment and/or diesel truck partsAbility to work in a fast-paced, multi-priority environmentStrong organizational and problem-solving skillsProficiency with Excel and/or inventory management systemsMechanical background or ability to interpret parts diagramsAbility to follow instructions, prioritize tasks, and communicate clearlyDependable attendance and willingness to work flexible hours during construction seasonLive up to our company Core Values:Safety - Safety in the workplace is a mutual responsibility of the employer, management and all employees.
