We help aircraft owners buy and sell private aircraft, and we operate alongside CXO MX, our in-house aircraft maintenance shop. We are committed to exceptional service and expertise in the aviation industry, and we are seeking a dedicated Operations Coordinator to support our growing team.About This RoleThe Operations Coordinator is responsible for the smooth daily operation of our office and serves as a key support function across sales, content, accounting, and back-office work.
The role combines strong administrative skills with comfort using modern tools, sharp judgment, and a willingness to own outcomes rather than just complete tasks.What You Will DoKeep the office and showroom running. Greet customers, host buyer visits, manage phone calls, receive deliveries, and run errands at the airport and around Conroe.Manage consistent QuickBooks billing tasks, including invoicing, expense entry, vendor payments, and ongoing support of our accounting workflows month over month.Support content production with our Content Manager. Post blog articles, schedule social media, update website listings, prep video assets, and contribute to content workflows.Use modern tools, including AI tools, to research markets, draft communications, and execute projects efficiently. Review and refine any tool-generated output before it goes out the door.Assist sales with aircraft listings, market research, prebuy coordination, and document prep.Coordinate calendars, travel, and meetings for the executive team.Maintain CRM records.Run ad hoc projects across our affiliated entities. The work varies week to week.What We Are Looking ForHigh agency. You see what needs doing and do it without being asked twice.Comfort with technology. You should already be using AI tools in your daily life and be willing to learn new platforms regularly.Strong judgment. You can tell when a draft needs revision before it goes out, when a customer call needs a human touch, and when a problem needs to be escalated.Excellent written and verbal communication. You will be a front-line voice for our brand, on the phone and in person.Organized and self-directed. You can manage multiple workstreams without close supervision.Aviation interest is a strong plus. Familiarity with general aviation, pilot terminology, or aircraft maintenance is welcome but trainable.Bilingual Spanish or Portuguese is a plus, not required.Bachelor's degree preferred, not required.
