Temporary Position At National Institutes Of Health (NIH)Global Solutions Network (GSN), a federal government contracting firm, presents this full time, short-term position supporting GSN's customer at the National Institutes Of Health (NIH). This position provides a competitive salary and comprehensive benefits.Responsibilities:Coordinate with upper management on special projectsAct as a point-of-contact with upper management, administrative, budget, and property management staffDisseminate guidance to staff on Federal guidelines and proceduresDevelop, maintain, and update spreadsheets for personnel, budget, and travel actionsResearch and propose new administrative proceduresPrepare reports to include monthly expenditures, forecasts, and staffing allocationsPrepare a variety of personnel actions; monitor status to ensure that deadlines are metCoordinate the preparation of a variety of items such as travel requests, professional service orders, requests for sponsored travel Form 348, outside activities Form 520, official duty memoranda, training requests, individual mass mailings, correspondence, reports and various forms; maintain copies of all travel orders and vouchers in the established office filePrepare inventory and purchase requests; assists with property management by serving as a property custodian for assigned areasPrepare supply orders via POTS with government approval and ensure proper delivery and receiving of itemsSet up and format spreadsheets to analyze informationGather and analyze information about processes and programs; prepare reports, letters, and other documents for review and input for programs, policies, and activitiesCoordinate the printing and conversion of paper documents to electronic filesDevelop, maintain and utilize various administrative databasesCompile data and create and maintain PowerPoint presentations for presentation utilizing computer programsMaintain contacts database; update maintain calendars and shared calendars for multiple staff membersCoordinate meetings, workshops and courses for staff; schedule conference roomsMaintain office records including office procurements and reimbursement proceduresAssist with timekeeping tasksAssist with annual reports, PubMed Central submissions and other publication-related dutiesDesign and coordinate systems for communications among staff to facilitate the efficient flow of information relating to projects and program activitiesMaintain branch file systems for correspondence and projectsNote commitments made by executive level during meetings and arrange for staff implementationArrange for staff member to represent organization at conferences and meetings, establish appointment priorities, or reschedule or refuse appointments or invitationsRead outgoing correspondence for executive levels approval and alert writers to any conflict with the file or departure from policies or executive levels viewpoints; make recommendations to resolve problems that ariseAssist Leadership, in their absence, to ensure that requests for action or information are relayed to the appropriate staff; triage notifications to executive level based on level of importanceSummarize the content of incoming materials, specially gathered information, or meetings to assist executive; coordinate the new information with background office sources; draw attention to important parts or conflictsCompose correspondence requiring some understanding of technical matters within the programUpdate and develop content for websites and monitor for currency and accuracy of informationOrient new personnel to the laboratoryInitiate training of new administrative personnelQualifications:Bachelor's degree and ten years' experienceDemonstrated proficiency in Microsoft OfficeKnowledge of NIH procurement, purchasing and administrative systemsBenefits:Medical, Dental, & Vision CoveragePaid Time Off and Paid Holidays401K/Profit Sharing PlanFlexible Spending Accounts (Healthcare & Dependent Care)Pretax Parking & Transportation PlanShort-Term & Long-Term Disability InsuranceLife & AD&D InsuranceProfessional Development/EducationEmployee Referral BonusesEmployee Discount ProgramMerit BonusesEmployee Assistance ProgramTravel Assistance ProgramGlobal Solutions Network, Inc.
