Whether you're answering phone calls, welcoming families, verifying insurance, or helping patients navigate their appointments, you'll play a key role in delivering the exceptional experience that defines our practice.What You'll DoBe the First Point of ContactAnswer incoming phone calls with enthusiasm, professionalism, and genuine care, helping every caller feel welcomed and valuedUtilize call scripts and communication tools to ensure a consistent patient experienceManage a high volume of calls while maintaining accuracy and exceptional serviceDirect patients, visitors, and callers to the appropriate team members or resourcesSupport Patient Scheduling & CommunicationSchedule appointments accurately while following insurance guidelines, patient due dates, and provider scheduling templatesCommunicate clearly and professionally through phone, email, documentation tools, templates, and patient notesEnsure all patient needs and follow-up items are properly documented and completedCreate an Outstanding Check-In ExperienceGreet patients and legal guardians with warmth and enthusiasmVerify and update contact information and insurance detailsCollect patient payments and assist families with payment plan arrangements when neededDirect families to the appropriate waiting areasSupport relationships with vendors and visitors to the practiceDeliver Accurate and Efficient CheckoutsComplete appointment checkouts, including claim creation, treatment review, future scheduling, and documentationReview treatment plans and out-of-pocket costs with patients and familiesCollect patient responsibility balances when appropriateEnsure accuracy through quality checks and verification processesSupport Daily OperationsComplete daily workstation tasks and maintain accurate task logsKeep workspaces organized, stocked, and prepared for patients and teammatesAssist with office projects and operational initiatives as assignedSupport multiple workstations as needed while maintaining a positive patient experienceWhat We're Looking ForRequired QualificationsPositive mindset and upbeat attitudeStrong customer service and interpersonal skillsExcellent written and verbal communication abilitiesDetail-oriented with a commitment to accuracyStrong multitasking and organizational skillsAbility to thrive in a fast-paced environment with competing prioritiesComfortable learning and using new technology systems, phone platforms, and software applicationsAbility to follow tasks through to completion and maintain accountabilityPreferred QualificationsPrior customer service or front desk experiencePrevious experience in a dental, orthodontic, pediatric, healthcare, or medical office environment is a plus, but not requiredExperience handling patient scheduling, insurance verification, or payment collection is beneficialSchedule & TravelFour-day work week, 10-hour shifts; typically 7:00 AM to 5:30 PMWhat Success Looks LikeIn this role, you'll be successful when you:Consistently provide an outstanding experience for patients and familiesMaintain high levels of accuracy and efficiency across all responsibilitiesManage approximately 90 calls during a 10-hour shift while delivering exceptional serviceComplete required daily tasks and documentation on timeDemonstrate reliability, consistency, and accountability in your workThe Smile Lodge DifferenceAt The Smile Lodge, our culture is built around creating meaningful experiences for patients, families, and teammates alike.
