Onboarding Coordinator

Location: New York, NY (Hybrid) Work Schedule: Hybrid (Remote: Monday & Friday | Onsite: Tuesday–Thursday) Hours: 37.5 hours/week Interview Process: 2 Virtual Interviews

Position Summary

We are seeking an Onboarding Coordinator to support HR Talent Management Operations by delivering a seamless onboarding experience for new hires. This role will coordinate onboarding activities, process employment documentation, manage I-9 compliance, maintain employee records in SuccessFactors, and provide operational support across HR programs. The ideal candidate is detail-oriented, organized, customer-focused, and eager to grow within HR Operations.

Key Responsibilities

  • Coordinate end-to-end onboarding activities for new hires.
  • Process and manage I-9 employment verification, including reverifications, ensuring compliance with federal regulations.
  • Maintain accurate employee records and onboarding data in SuccessFactors.
  • Track onboarding workflows and ensure timely completion of required documentation.
  • Provide exceptional support to employees, hiring managers, and HR partners throughout the onboarding process.
  • Assist with HR operations, process documentation, and continuous process improvement initiatives.
  • Generate and maintain reports using Microsoft Excel (sorting, filtering, and basic data analysis).
  • Support talent management programs and HR operational projects.
  • Identify opportunities to improve workflows through automation and AI-enabled tools.
  • Handle confidential employee information with professionalism and discretion.

Required Qualifications

  • Minimum 2 years of U.S. onboarding experience.
  • Hands-on experience with SuccessFactors.
  • Experience processing I-9 forms and reverifications.
  • Proficiency in Microsoft Excel (filters, sorting, and basic reporting).
  • Strong organizational, communication, and customer service skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Experience handling confidential HR information.

Preferred Qualifications

  • Bachelor's degree in Human Resources, Business Administration, Operations, or a related field (or equivalent experience).
  • Experience supporting HR Operations or Talent Management.
  • Knowledge of HR processes and employee lifecycle activities.
  • Interest in AI, automation, and process improvement.
