Administrative Assistant / Office Manager160over90 is currently seeking an Administrative Assistant / Office Manager who will be responsible for providing administrative support to the senior leadership team and help to run the day-to-day functions of the Atlanta Office. The ideal candidate will exercise discretion and independent judgment, as well as the ability to interface and work with all senior level business leaders and their teams. The candidate will have good research skills and the ability to effectively manage scheduling of calls, meetings, and a high-volume workload.Office Manager ResponsibilitiesAdministrativeSecuring security access cards for all new hires and parking/replacement requestsSubmitting visitor lists each week with securityNew hire name platesGetting mail, receiving packages, distribution of mail and packagesMonthly allocations to finance for non-160/90 employees that sit in our officeNew hire office orientationCover main line office phoneSeating plan for new hires or desk move requestsPOC for cleaning company in the office / coordinating additional cleaningBuilding ManagementBuilding management liaisonEmployee communication from BuildingSubmitting invoices for rent and parkingSubmitting security and building maintenance requestsCoordinating HVAC maintenance and troubleshooting issuesCoordinating with appliance vendors to clean ice makers and water machines and general maintenance contractsCoordinating vendors for painting general maintenance not covered by the buildingCoordinating with furniture vendors for replacement or new orders when neededOffice Day to DayOrdering office supplies, coffee, etc.Running and emptying dishwashersRefilling coffee, drinks and snacks in kitchensCleaning out desks where employees have left and shipping personal belongings back to employees that have left in conjunction with managersCulture Captain:Support office activities around employee culture and celebrationRepresent Atlanta within 160/90 broader culture captain initiativesExecutive Support of Office LeadHandle scheduling of meetings, managing calendars, coordination of travel and expense reportsLiaise internally and externally as necessary with all levels of personnel, clients and business associatesOwn coordination of office wide/experiential division meetings including developing presentation materialsSit in meetings as necessary to take notes and detail action itemsWork with IT to ensure all Experiential meetingsWork on special projects as neededIn Office Expectation:Monday – ThursdayYou Have These:Experience assisting a senior level executive preferredInternet/Technology savvyHigh proficiency with MS Office (Teams, Word, Excel, PowerPoint and Outlook)Experience with Concur for Travel Booking and Expense ReportingAbility to work with all levels of managementExceptional grammar and proofreading skills requiredAbility to handle multiple assignments and deadlines with accuracyDetail-oriented and proactiveExceptional interpersonal skillsStrong written and oral communication skillsProfessional demeanorHow We Work:WME Group is at the center of sports, media, entertainment, and fashion and is a largely relationship-based business.
