Office Manager in the U.S.As our Office Manager in the U.S., you'll play a central role in making our New York office a welcoming, well-functioning, and vibrant place to work. You'll manage all things related to office life, team events, and onboarding — while also supporting Yves, our CEO & Co-founder, with select administrative and logistical tasks.If you thrive on autonomy, have a knack for creating structure, and love bringing people together, this role is for you.What you'll doFinance & Administrative OperationsOwn the monthly US payroll cycle in Justworks: timesheets, bonuses, and data accuracy, in partnership with the finance team.Run benefits administration end to end — healthcare, insurance, and perks — including timely enrollments, changes, and renewals.Handle day-to-day payments: supplier invoices, receipt reconciliation, and vendor accounts.Produce a monthly financial report for the NY office covering expenses, budget, and forecast.Propose and manage cash optimization: short-term treasury placements and liquidity tracking.Work with our external accountant on tax filings, payroll declarations, and record-keeping, and keep documentation audit-ready.Maintain the relationship with our banking partners and keep account operations running smoothly.Executive Assistant Support to the CEOProtect the CEO's focus: proactively manage the calendar around strategic priorities, and take on delegated admin and financial tasks with precision.Coordinate travel, event participation, and related logistics.Act as the main point of contact for external accountants, legal advisors, and financial partners on filings, reporting, and compliance.Support oversight and documentation of executive-level investment activity alongside the relevant advisors.Assist with the preparation and submission of corporate and administrative declarations.Office & Facilities ManagementBe the go-to person for the New York office: space, supplies, snacks, maintenance, and daily comfort.Manage all office vendors and service providers (cleaning, deliveries, utilities, security).Keep the office tidy, secure, and always ready for employees, visitors, and partners.Lead office improvements, décor, and furniture orders, and track the office budget and spend.People Experience & OnboardingPrepare everything new joiners need before day one: welcome kit, badge, laptop, and role-specific tools.Coordinate the first-day experience (welcome breakfast, first team lunch) and handle offboarding logistics in Justworks.Be the first port of call for day-to-day employee needs in the office.Team Events & CulturePlan and run local events: afterworks, team lunches, team buildings, holiday parties.Support company-wide events such as the annual seminar, including travel logistics.Bring creative ideas so everyone feels included, celebrated, and connected.Our commitmentsSUCCEED — You'll join a team of passionate people who share values of ambition and determinationTRUST — We give you real autonomy, trusting you to reach your goals in your own wayEXPLORE — You'll grow in a culture that's constantly evolving and curious about what's nextPROGRESS — We'll support you through challenges, learn from mistakes, and move forward togetherSMILE — And every day, you'll be part of a fun and positive environment where humor is always welcomePreferred experienceWhat we're looking forYou're the perfect match if…You have 3+ years of experience as an Office Manager, Admin, or EA — ideally within a startup or another fast-moving environment.You've worked with Justworks, our HR-tech platform (and if you know it inside out, even better).You're already using AI in your daily work — or you're ready to get there fast.
