ROHM Semiconductor is looking for a proactive, organized, and highly discreet Office Manager/Executive Administrative Assistant to anchor our business operations and support our sales, engineering, executive and senior management team members.SummaryIn this dual-focused role, you will be the backbone of our Santa Clara headquarters. You will seamlessly balance high-level executive support with day-to-day office management.
The ideal candidate is a self-starter who operates with high integrity, can handle confidential information with impeccable judgement, and thrives in the dynamic semiconductor industry. This position reports to the VP of Legal and Operations. Company works model is hybrid, 4 days in-office and 1 day work from home.Duties and ResponsibilitiesProvide high-level, day-to-day administrative support to sales, engineering and senior managementManage and coordinate complex executive calendars, meeting schedules, and domestic/international travel arrangements.Prepare, edit, and format confidential documents, contracts, reports, and presentations for leadershipAct as a trusted liaison between the senior management, internal departments including our Japan HQ counterparts, and external partners and vendorsServe as the primary point of contact for daily business operations at our Santa Clara facility plus help support other office site's business as neededManage office supply inventory, proactively ordering and restocking office and breakroom suppliesCoordinate and facilitate on-site and virtual sales, company, and departmental meetings, including catering and IT setupOversee mail routing, shipping logistics and courier services (e.g., FedEx, UPS, & DHL)Act as the main point of contact for building management, vendors, and office service contractorsHandle high sensitive and confidential company, financial, and employee information with extreme discretionPerform projects and other duties as assignedEnsure all office protocols adhere to company data security and privacy policiesQualificationsEducation/Training/ExperienceMinimum of 3+ years of experience in office management, executive assistance, or business operations.
