Office AssistantThe Office Assistant supports the Arc team.
The role involves a variety of administrative functions. This includes normal administrative tasks and special projects.Primary responsibilities will include:Reception Duties: Greet visitors, answer and direct phone calls, manage incoming and outgoing mailAdministrative Support: Assist in the preparation of regularly scheduled reports, maintain files, update and maintain office policies and proceduresScheduling: Schedule and coordinate meetings, appointments, and travel arrangementsCommunication: Write and distribute email and other correspondenceOffice Supplies: Maintain inventory of office supplies and order new materials as needed.Documentation: Assist in the preparation of presentations, spreadsheets, and other documents as neededTeam Support: Provide general support to visitors and assist other staff members as requiredQualifications The successful applicant will have the following minimum qualifications:Bachelor's degree or equivalent experienceExcellent attention to detail, strong organizational skills and pro-active problem solvingAbility to work tactfully and effectively with a diverse groupExcellent written and oral communicationAbility to prioritize, multi-task, follow-through and report back, and manage time effectivelyAbility to work independently and as part of a teamAbility to handle sensitive matters with discretionHigh degree of proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint, Teams)Ability to keep calm under pressureAbility to quickly and accurately analyze problems and identify appropriate solutionsExcellent interpersonal communication skills, including tact, poise, professionalism, diplomacy, and a good sense of humorFlexibility and a "can do" approach to dynamic circumstancesExperience working with international colleagues a plusArc is an equal opportunity employer.
