Office AdministratorThe Office Administrator position is responsible for overall front office activities, including the reception area, mail, large purchasing requests and facilities. Also responsible for directing and coordinating office services and related activities, including developing and supervising programs for the maximum utilization of services and equipment. Responsible for arranging internal office moves and providing arrangements for office meetings.Key Responsibilities:Supervise Customer Service Representatives including and is responsible for the performance management and hiring of the employees within that departmentSupport and assist the branch in meeting goals, requests and requirements of the division and Home Office regarding branch audit requirementsManage scale house operations and coordinate special waste documentsCreate and maintain monthly commodity report, processes rebates, completes monthly recycling scrap reconciliation formsProcess municipal PI's, tracks PI's and keeps up municipal quarterly billing spreadsheetProcess manual municipal and commercial billingEnter new residential accounts and work orders into ERP systemProcess credits and sales adjustments up to the established limitAssist Collections, Accounts Payable departments disposal and fuel reconciliation as neededEnsure accuracy of all billing including roll-off work orders and process manual billing accounts into the ERP systemPrepare all month end reports including; landfill accrual, commodity, etc and ensure reports are completed accurately and timelyOrder and maintain the inventory relating to all office suppliesAssist supervisors/managers with processing payroll for all Branch personnelResponsible for completing employee data sheets to update employee status, scan ADP reports (active, termed, leave, etc.) in HRIS systemTrain new staff on branch procedures, customer service, computer systems, etcConduct new hire orientation, prepare and verify completion of new hire packets and ensure packets are sent to Home OfficeMaintain and schedule public relations and customer service events for the branchBack-up on incoming calls and direct messages to appropriate personnelConform in all respects with applicable laws, regulations, ordinances and other orders and to all company policies, procedures and directives from supervisorsPerform other reasonable duties and responsibilities as required or requested by managementKnowledge, Skills, Abilities and Competencies:High school diploma; BS/BA in office administration or relevant experience2-4 years of related experience and/or training1-2 years of supervisory experience and customer service experienceEquivalent combination of education and experienceFamiliarity with office management procedures and basic accounting principlesExcellent organizational and leadership skillsExcellent knowledge of MS Office and office management software (ERP etc.)Excellent interpersonal and communication skillsExperience with AS400 and Tower is a plusPossess ability to regularly lift/move up to 10 pounds and occasionally lift/move up to 20 pounds.Physical/Mental Demands:Visual Requirements: include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.Sitting and standing for a 5 or more hours.Possess ability to regularly lift/move up to 10 pounds and occasionally lift/move up to 20 pounds.Working Conditions:Work in indoor office environment 95% of the time.No travel is expected for this position.Noise level is usually moderate.#GFLTALENT #LI-ONSITEWe thank you for your interest.
