The Office Administrator will serve as a key support partner within a growing Home Health organization, overseeing daily office operations while supporting clinical, intake, HR, recruiting, and compliance functions. This role requires a highly organized, bilingual professional with home health experience who understands healthcare workflows, physician communication, patient intake processes, and regulatory requirements. The ideal candidate is a self-starter who can manage multiple priorities, maintain accurate documentation, and ensure smooth coordination between clinical staff, patients, physicians, and administrative teams. Experience with Axxess Home Health software is required.
Required Skills & Experience
• 2+years of experience in a Home Health, Healthcare Administration, Medical Office, or Healthcare Operations role.
• Experience processing patient intake and admissions.
• Working knowledge of home health regulations, documentation requirements, and clinical workflows.
• Experience receiving and managing medical records.
• Ability to take, document, and process verbal physician orders.
• Strong experience communicating professionally with physicians, nurses, and healthcare professionals.
• Experience conducting OIG exclusion screenings and maintaining compliance documentation.
• Proficiency with Microsoft Office Suite, particularly Excel and spreadsheets.
• Experience with Axxess Home Health software.
• Strong organizational skills and attention to detail.
• Ability to prioritize multiple tasks and work independently with minimal supervision.
• Excellent verbal and written communication skills.

- Associate's or Bachelor's degree in Healthcare Administration, Business Administration, or a related field.
Day-to-Day Responsibilities
• Manage daily office operations and administrative functions for the home health agency.
• Coordinate and process patient referrals, admissions, and intake documentation.
• Receive, organize, and maintain medical records and physician documentation.
• Process and document verbal physician orders accurately and timely.
• Communicate with physicians' offices regarding orders, signatures, care plans, and patient needs.
• Utilize Axxess to maintain patient records, update information, and support clinical workflows.
• Assist with HR functions including onboarding paperwork, employee documentation, and personnel records.
• Support recruiting efforts by following up with candidates, scheduling interviews, and maintaining hiring pipelines.
• Conduct monthly OIG exclusion checks and maintain compliance records.
• Assist with quality assurance initiatives, surveys, patient satisfaction follow-up, and compliance reporting.
• Create and distribute company newsletters and internal communications.
• Maintain spreadsheets, reports, and tracking logs related to operations, staffing, compliance, and patient services.
• Collaborate with clinical staff to ensure timely processing of healthcare documentation and patient care needs.
