Office AdministratorThe Office Administrator is responsible for overseeing and managing the operational/admin activities within a designated division. Essential functions include hiring, administrative duties, team management, and operational excellence.Key responsibilities include:Supporting recruiters and talent manager when neededFull cycle recruiting including sending conditional job offers, drug testing, E-Verify, background checks, onboarding, and managing winteam activity for regionAssisting in sending pre-employment requests and onboarding through HRIS systemReviewing resumes and setting up interviews as neededMaintaining team members personal E-files, including personal, medical, and safety filesSubmitting and conducting background checks and providing drug test instructionsMonitoring leave of absence (LOA) processAssisting with recruiting for job starts, acquisitions, and open positionsReviewing, auditing, and approving I-9 formsTracking the number of drug tests and ordering if neededRequesting paycards as neededAuditing personal files for drug testDirecting office activities and functions to maintain efficacy and compliance with company policiesPayroll administration for the region including approval of payroll and assist the regional manager and account managers in approval of hours via Ehub for the regionEntering pay rate changes, address changes, and W-4 changes via WinteamCompleting unemployment claims on Equifax case builderRunning bi-weekly paycheck warning reportCompleting ACA eligibility report weekly and sending it to HROrdering office supplies as neededCompleting monthly spot audits and submitting to corporate HR departmentLeading and supporting program teams and partners including tracking of referral bonus, tracking good work tickets program via Paycor, Bingo card distribution, identifying possible lead360 candidate with Regional Manager or Regional VPReporting- updating regional goal tracker and sending out on a weekly basisScorecard expectationsTracking team member's uniform inventory and ordering team member's uniforms as neededTracking all safety observations and inspectionsTracking of CPR'sSupervisory responsibility includes supporting recruiters and office staff.Required education and experience:Minimum of 2-5 years in HR or admin equivalent experienceUndergraduate degree or equivalent related work experienceBachelor's degree preferredProficiency in using HRIS systems and payroll management software
