Office AdministratorCompany: Translogic Corp.The Office Administrator covers a wide range of HR and office administrative functions. This role will support the back-office functions of the People & Organization team in North America, provide office administrative functions critical to the smooth operations of the North American Headquarters and Technology Center, as well as assist with travel and expense reporting.Make an impactProvides a high-level of customer service to employees, as well as to external guests and customersSupports the day-to-day operations of the P&O function and ensures employee records, HR processes, and compliance activities are handled accurately and efficientlyEnsures data accuracy and confidentiality of employee informationPrepares new hire paperwork and employment documentsSchedules interviews and coordinates candidate communicationsTracks required training and certificationsSchedules meetings, training sessions, and HR eventsGreets and directs guests and employeesReceives and distributes deliveriesMaintains and operates mail meter and posts outgoing mailFacilitates office supply and maintenance requestsManages meeting room set-up, including catering deliveries and clean up after meetingsPerforms weekly and monthly employee/loaner badge auditRuns badge reports for our office locationsAssists with first aid kit auditAssists with catering for new hire lunches, meetings, and department requestsMaintains kitchen/lunchroom and small kitchen areas in office, keeps tidy and ensures there are standard items available for restockMaintains security by following proceduresParticipates in planning and execution of evacuation proceduresSupports employee events as neededAssists P&O team with project work when neededActs as backup for corporate Travel Manager, books employee, new hire, and candidate travel as requestedMonitors and validates expense reportsMonitors traveler compliance, including identifying and making recommendations to address non-compliant travelers and unenforced policiesAssists with immigration requests, visa assistance for recruiters and travel managerPerforms other duties, as assignedWhat you need to succeedHigh School Diploma or equivalent2+ years of customer service experienceProfessional and friendly attitudeUse discretion and maintain confidentiality regarding sensitive dataAttention to detail and strong organizational skillsWillingness to help others when requestedKnowledge of MS Office SuiteStrong written and verbal communication skillsAbility to be resourceful and proactive when issues ariseExcellent organizational skillsMultitasking and time-management skills, with ability to prioritizePunctual with strong attendance historyDesirable, but not Essential: Hands-on experience with office equipment; printers, coffee brewers, etc.Experience with Concur and SAP a plusSalary range for this position is $45,000 - $53,000.
