Executive Nutrition Assistant Remote
Key Responsibilities:
- Outreach & Engagement Management
- Manage a high-volume, ever-changing calendar, including speaking engagements, internal meetings, donor calls, and travel
- Prioritize scheduling requests and resolve conflicts with sound judgment and clear communication
- Coordinate all logistics for speaking engagements (virtual and in-person), including speaker agreements, book sales and signings, continuing medical education inquiries, audio/visual requirements, and other paperwork
- Ensure websites are updated with new speaking events as confirmed
- Coordinate and schedule media and interview requests
- Coordinate travel reimbursements and honorarium donation invoicing related to speaking events, including working with Executive Vice President, Operations to track outstanding requests and payments
- Administrative & Operational Support
- Assist with webinar presentation and engagement
- Coordinate and send monthly thank you and birthday cards to donors from the President
- Coordinate and send staff birthday and work anniversary recognitions
- Support special projects and organizational initiatives as needed
Qualifications:
- 3-6+ years of experience supporting a senior executive, preferably in a nonprofit or media environment
- Excellent written and spoken communication skills
- Exceptional calendar management skills, particularly for a public-facing speaker
- High level of discretion and professionalism
- Proven ability to manage multiple priorities and adapt to changes
- Detail-oriented with strong personal organizational systems
- Proficiency with Google Workspace, Microsoft Office, Asana, and scheduling platforms
- Ability to work effectively in a fully remote environment
