When the building runs well, teachers can teach and students can learn.We are seeking an Operations Associate to support the day-to-day operations of the middle school building, located at 51-31 Reeder St, Floor 2, Elmhurst, NY 11373.Role OverviewThe Operations Associate plays a central role in keeping Forte Prep's middle school campus running smoothly each day. This role supports the school's main office and front desk, student records and information systems, IT troubleshooting, supplies and procurement, school events, and state testing logistics.This position requires a proactive, detail-oriented individual who is comfortable juggling multiple responsibilities at once, communicates warmly with students, families, and staff, and approaches problems with initiative rather than waiting for direction.The Operations Associate reports to the high school Director of Operations and works closely with the Operations Manager, school leaders, and the rest of the operations team.Key ResponsibilitiesManage phones, including answering, receiving, and placing calls and taking messagesManage mail, including stamping, signing, and distributing received mail and preparing and sending outgoing mailRespond to and address family requests, including providing requested documentationSupport the school's translation needs to ensure clear communication with all familiesActively contribute to building an engaged, diverse, and inclusive school communityMove packages weighing up to 30 poundsSupport the collection and maintenance of student, personnel, and school information, including receiving forms and paperworkTake and track attendance, follow up on missing forms, and keep contact information currentEnter information into ATS and other student information systemsMaintain accurate, up-to-date recordsProvide first-line technical support to staff, including troubleshooting hardware and software issuesCollaborate with IT vendors and Central Office staff to address and resolve technical challengesSupport classroom technology, copy machines, student and teacher devices, and networking equipmentHelp manage the school's internal and external ticketing systemsPlace and track orders for school materials, including poster paper, ink, and other suppliesCoordinate with vendors to ensure timely and accurate deliveryManage the supply closet and inventory, ensuring adequate stock levelsSet up community meetings and school events, ensuring all logistical requirements are metCollaborate with school staff and the Family Manager to ensure successful event executionCoordinate the printing and distribution of exam materialsOversee check-in and check-out processes for state, AP, and other major examsQualificationsAt least 2 years of experience in administrative or operations roles, preferably in an educational settingStrong organizational and multitasking skills with attention to detailInitiative and the ability to deliver results quickly and efficientlyExcellent communication and interpersonal skillsProficiency in IT troubleshooting and basic technical supportSpanish fluency is requiredHigh school diploma or equivalent; additional education or certifications in operations management or a related field is a plusWhat We Are Looking For:A belief that strong operations create the conditions for great teaching and learningA proactive mindset that anticipates needs before they are flaggedStrong organizational discipline and attention to detail across many concurrent tasksWarm, professional communication with students, families, and staffA track record of reliability, follow-through, and ownershipCompensation: This is a permanent, full-time position. The salary range for this role is $60,000 to $70,000, commensurate with experience.
