This role serves as a key point of contact for patients and supports day-to-day office functions by managing front-desk responsibilities, scheduling, and information flow across the care team.What You'll Do:Greet and assist patients in a welcoming, professional mannerSchedule appointments and support patient flowManage and maintain patient records with accuracy and careWhy This Role Matters:The Medical Secretary plays a vital role in maintaining organization, accuracy, and confidentiality of patient information while supporting the overall workflow of the clinical team and helping deliver a positive patient experience.Principal Duties & Responsibilities:The Medical Secretary supports daily office operations by delivering organized, professional, and patient-centered administrative assistance.Patient & Front Desk SupportGreet patients in person and by phone with courtesy and professionalismMaintain a clean, welcoming front desk and waiting areaAnswer incoming calls, messages, and faxes and ensure timely communicationScheduling & RegistrationSchedule, confirm, and manage patient appointments using EHR systems (EPIC)Register new patients and update existing patient informationRecords & DocumentationMaintain accurate, organized, and confidential patient recordsPrepare and manage medical correspondence, reports, and documentationInsurance & Billing SupportProcess insurance information and verify eligibilityCollect co-pays and process paymentsSupport billing processes as neededCare CoordinationCoordinate referrals to specialists and follow up on authorizationsSupport physicians and medical staff with administrative tasks as neededKnowledge, Skills & Abilities Required:Education & ExperienceHigh school graduateMinimum of one year of experience as a medical assistant in a medical practice environment preferredCertification as a medical assistant preferredGraduate of an accredited secretarial training school preferredTwo years of experience in a busy medical practice settingTechnical & Administrative SkillsKnowledge of medical terminologyExperience with word processing equipment and personal computersWorking knowledge of insurance regulations and required formsAbility to be trained in CPT and ICD-9 codingFamiliarity with billing systems preferredKnowledge of pre-admission and pre-testing requirements helpfulComputer proficiency requiredProfessional SkillsCPR certification requiredStrong communication and interpersonal skillsEffective and professional telephone mannerAbility to communicate with patients, physicians, and other professional staffAbility to work independently, follow directions, and manage multiple tasks simultaneouslyPay Range:$20.00 - $26.92The pay range listed for this position is the base hourly wage range the organization reasonably and in good faith expects to pay for this position at this time. Actual compensation is determined based on several factors, that may include seniority, education, training, relevant experience, relevant certifications, geography of work location, job responsibilities, or other applicable factors permissible by law.
