Receptionist/Administrative AssistantThe Toledo Clinic's Dermatology Department (Nahhas Dermatology) is seeking a full-time Receptionist/Administrative Assistant to provide front office support in a busy medical office. This position will be scheduled Monday - Thursday (7:00am - 4:30pm). Previous experience in a medical office, preferably Dermatology, is preferred.Provides friendly, professional support to patients while managing scheduling, phones, check in/check out, and general administrative duties.
Assists with skincare product sales and maintains an organized, welcoming office environment.Works under the supervision of the Office Manager.Essential Duties & Responsibilities:Consistently arrives at work on time and adheres to regular work schedule.Greets patients warmly and professionally and creates a welcoming experience.Checks patients in and out accurately and efficiently.Answers incoming calls, routes messages, and assists with general patient questions.Schedules, confirms, reschedules, and cancels medical and cosmetic appointments.Verifies patient demographic and insurance information.Collects copays, balances, cosmetic payments, and other patient payments.Maintains patient confidentiality and follows HIPAA requirements.Assists patients with forms, portal access, and general practice information.Communicates professionally with patients both in person and by phone.Serves as a knowledgeable resource for the practice's professional skincare products.Proactively engages patients regarding skincare products and current promotions.Assists the Office Manager and Providers with day-to-day administrative needs.Scans, uploads, organizes, and maintains patient documents and records.Monitors incoming faxes, correspondence, and administrative requests.Maintains an organized and professional reception and waiting area.Assists with office and retail supply inventory.Performs additional clerical and administrative duties as needed.Works collaboratively with clinical staff to maintain efficient patient flow.Other Essential Duties May Include but Are Not Limited To:Other duties as assigned.Knowledge, Skills & Abilities Required:Required:Consistently arrives at work in appropriate/professional attire.Completes all tasks within established time frame.Adheres to all clinic policies and procedures.Strong interpersonal and customer service skills.Professional and polished communication style.Comfortable discussing and selling skincare products.Strong organizational skills and attention to detail.Ability to multitask in a busy medical office environment.Comfortable using computers, electronic health records, scheduling systems, and point-of-sale systems.Dependable, punctual, and able to work effectively as part of a small team.Excellent communication, phone, and organizational skills required.Computer skills helpful.Seeks appropriate tasks when primary tasks are completed and assists co-workers as needed.Demonstrates adaptability to expanded roles.Education:HS diploma or GED.Preferred:Previous medical office, dermatology, aesthetics, retail, or customer service experience preferred.
