- Direct report: Assistant / Non-Lead Medical Assistant
- Escalation path: Practice Operations Manager → Physician (only when clinically required)
Core Responsibilities
1. Surgical Scheduling & Coordination (Primary Focus)
- Coordinate surgical cases with hospitals and surgical centers, including scheduling, preadmission
paperwork, and day-of logistics.
- Verify prior authorizations, H&P currency, surgical site and laterality, and required orders are
complete before the case is confirmed.
- Follow and enforce the Surgery Scheduling SOP as established, contributing input to refine it
where execution reveals gaps. Surgical errors are not acceptable; precision is mandatory.

department-level lead within that structure, accountable for executing the clinical-support systems the
practice depends on every day.
The Lead MA / Surgery Coordinator owns daily execution of clinical support: surgical coordination,
PT tracking, in-clinic DME dispensing, exam-room readiness, and Medical Assistant workflow
oversight. The role protects provider bandwidth by ensuring nothing operational reaches the
physician that should have been resolved at the department level. Authority here is
execution-focused: enforcing established SOPs, not authoring new ones or granting exceptions.
Serve as the primary surgery coordinator for the practice.
Track every surgical case from scheduling through post-op follow-up; maintain the surgical log and
the surgical checklist, with status visibility at all times.
Coordinate delivery of required DME to the patient. Communicate clearly with patients on pre-op
instructions, arrival times, NPO requirements, and post-op expectations.
