Marketing CoordinatorThe Marketing Coordinator plays a central role in planning, executing, and supporting all company events, location branding, and marketing operations. This individual is highly organized, detail-oriented, and thrives in a fast-paced environment where they balance multiple priorities. They work both independently and collaboratively, anticipate problems before they occur, and ensure a consistent brand experience across all touchpoints.Position ResponsibilitiesOwn end-to-end event coordination for trade shows, conferences, and internal company events — including venue research, contract negotiation, vendor management, scheduling, logistics, and setup/teardownDevelop and maintain a master events calendar and best-practice playbook to ensure consistent, professional event executionManage event budgets; track expenses, process invoices, and reconcile actuals against budget post-eventCreate and manage a trade show lead capture and post-event follow-up process to accurately track ROI from event participationPromote events through appropriate internal and external channels, including social media platforms such as LinkedIn and Facebook, to drive attendanceCoordinate the design, production, and installation of signage for all company locations, ensuring brand consistency and qualityMaintain an up-to-date inventory of all signage assets, including location, condition, and replacement schedulePartner with vendors to source and fulfill signage orders; manage timelines and approvalsSupport rebranding initiatives or new location openings with signage planning and executionManage the company-branded merchandise store, including vendor relationship, product selection, pricing, inventory levels, and fulfillment coordinationEnsure branded merchandise aligns with current brand standards and is replenished proactivelyCoordinate distribution of branded materials for events, employee onboarding, and promotional campaignsTrack, code, and reconcile all marketing department expenses on a monthly basisProcess vendor invoices and purchase orders; serve as liaison between the marketing team and financeAssist with budget forecasting and prepare expense reports for the Senior Marketing teamManage vendor co-op programs by coordinating documentation and submissions with product teamsMaintain and update marketing collateral; evaluate relevance and coordinate reprints or redesigns with vendors or the internal team as neededCoordinate and track all exhibition materials, promotional items, and printed assets, ensuring accurate inventory and proper storageSupport the Senior Marketing team in launching and promoting new products and solutionsPrepare PowerPoint presentations and supporting documents for meetings and sales initiativesMaintain the annual marketing/sales calendar and communicate key dates to relevant stakeholdersPerform administrative duties as needed to support marketing operationsStay current with industry trends by participating in training opportunities and reading trade publicationsUndertake other duties as assigned by the Senior Marketing teamOrganizational CollaborationStrategic SourcingInternal Marketing Team MembersInside / Outside Sales TeamFinance DepartmentMarketing Outsourced Vendors & Signage SuppliersFacilities / Operations Teams (for location signage coordination)Position Requirements5 years of experience in marketing, event coordination, or a related fieldExperience managing vendor relationships, budgets, and multi-stakeholder projectsB2B marketing experience a plusSkills & CompetenciesStrong organizational skills with a track record of managing multiple projects simultaneously and meeting deadlinesExcellent verbal and written communication skills; able to work effectively with both business and creative teamsExperience with event management, trade show logistics, and post-event reportingFamiliarity with print production and signage processes preferredProficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)Experience with project or event management tools (e.g., Asana, Monday.com, or similar) a plusAbility to manage budgets, track expenses, and produce clear financial summariesSelf-motivated and capable of independent follow-through with minimal supervisionMaintains professional attendance, punctuality, and personal appearanceResults-oriented with strong attention to detail
