Position function: Reporting to the University Park, IL Facility Operations Manager of Caldic USA Inc., and dotted line reporting relationships to: The Elgin, IL Facility Operations Manager of Caldic USA, Inc, and the Caldic Third Party Logistics Manager, the individual will provide direction to two (2) Shipping Teams (Warehouse Team and the Shipping Support Staff at the University Park, IL Facility and the Elgin IL Facility) and be responsible to oversee all aspects of the shipping and receiving of products, ingredients and supplies according to Caldic’s processes and procedures.


Scope: The Logistics Manager will be responsible for leading the Shipping teams at the two Caldic facilities to ensure that orders are picked, staged, loaded, shipped, and invoiced according to Caldic’s processes and procedures. The individual will ensure that they and their team members adhere to all shipping and receiving processes and procedures so that all tasks are completed safely and efficiently through the use of appropriate systems, tools, and equipment specifically provided by Caldic. This position will also work closely with Quality, Replenishment, Production, Customer Service, Inventory Control, and the Freight & Customs Team to monitor and review orders and inventory and to prepare, load, deliver, and receive daily orders.


The Logistics Manager will also work closely with the Third-Party Logistics Manager to identify and implement freight savings opportunities and support freight optimization initiatives. The position will maintain records of freight claims for the U.S. regions and follow up with carriers, 3PL providers, and internal stakeholders as required. The Logistics Manager will also support the Pricing Team and CDMs by providing freight quotes as needed.


MAJOR TASKS AND DUTIES:


Warehouse Duties:


• To be familiar with all shipping, receiving and shipping procedures; train, support and assist the Shipping teams to ensure safety, productivity and efficiency while adhering to Supply Chain procedures.

• Update the team on any specific shipping and/or receiving priorities for the day.

• Provide direction to the Shipping teams; Prioritize loading and specify additional order picking in preparation for shipments.

• Distribute daily pick tickets for current day and up to 2 days ahead to maximize departmental productivity and efficiency; Organize orders based on orders being shipped by Caldic trucks, customer pick-ups and regional transfers

• Responsible to monitor newly created orders to effectively plan for picking, staging and loading of orders

• Assist Shipping team with regular duties as required; Order picking, receiving, put-away or loading, administration.

• To use WMS and other related procedures as required. Use appropriate inventory policy – i.e. FEFO – First expiry first out

• Process RMA’s for returned totes; May be due to damage, fermented product, leaks or customer overstock returns

• Communicate with Quality, Replenishment, Production, Sales, Customer Service, Inventory Control and the Customs and Shipping Administrator to ensure orders are completed to meet requested delivery dates

• Coordinate with Quality and Replenishment to ensure bulk orders are received within the applicable free-time window, minimizing waiting time and avoiding demurrage charges

• To verify and approve regular and OT hours and vacation requests for department team members; Investigate and resolve discrepancies

• Support and resolve any employee relations involving Shipping team members; use support of Operations Facility Managers, Director and/or Human Resources as required.

• Conduct and assist with completing annual performance reviews for Shipping team members

• To ensure team maintains the plant area in a clean and safe fashion representative of a food processing facility.

• Provide training and instructions to department team members.

• Comply with Caldic’s policies on hygiene, safety and quality.

• Provide the necessary resources to implement, support, and enforce the health and safety policies and programs within the company by working in compliance with all applicable laws and regulations, safe work practices and procedures established by Caldic

• Responsible for maintaining and overseeing the Food Safety and Quality requirements HACCP plans, CCP monitoring and SQF code; Responsible for being part of the SQF Internal Auditing team, implementing and maintaining corrective/preventative action when infractions happen.

• To attend any training required necessary for the job.

• All deemed necessary tasks as required by the Operations Facility Managers, Operations Director, or other Caldic Leadership Team.


Transportation Duties:


• Responsible for organizing and scheduling all daily customer deliveries and pick-ups for the Company driver(s) by region

• Review all driver pre-trip inspections and address any outstanding issues to ensure health and safety compliance

• Review all tote return forms and follow-up if there are any missing items indicated

• Follow up on any accident/incident forms to ensure health and safety procedures are being followed, and preventative/corrective actions are taken.

• Authorize and input vacation requests for driver(s) and the Warehouse/Shipping/Receiving staff as required.

• Review and authorize all driver hours on a weekly basis; Must follow up on any discrepancies (i.e. Unapproved OT hours)

• File all submitted forms and records for drivers and trucks (truck rental documents, incidents, vacation, and US DOT requirements)

• Address and resolve all employee relations issues involving drivers within the progressive discipline procedures; May require coaching

• Track daily productivity stats for all shipments and driver requirements

• Conduct annual refresher training on required driver procedures; Additional coaching and training provided as the needs arise

• Inspect all Caldic truck(s) weekly to ensure they are in good standing; Track, record and follow up to ensure any noted damages are addressed and repaired in a timely fashion

• Provide the necessary resources to implement, support, and enforce the health and safety policies and programs within the company by working in compliance with all applicable laws and regulations, safe work practices and procedures established by Caldic.

• Responsible for maintaining and overseeing the Food Safety and Quality requirements HACCP plans, CCP monitoring and SQF code; Responsible for being part of the SQF Internal Auditing team, implementing and maintaining corrective/preventative action when infractions happen.

• Manage international shipments to Canada and other countries, ensuring all required shipping and customs documentation is accurately prepared and completed.

• Maintain records of freight claims filed with transportation companies by Replenishment and Customer Care teams, and initiate the required follow-ups to ensure timely resolution.

• Audit and approve invoices for transportation companies in the USA

• Support the Pricing Team and CDMs by obtaining and providing freight quotes as needed to support customer pricing and transportation requirements.


KNOWLEDGE/SKILLS AND EXPERIENCE:


• Minimum grade 12 education or equivalent

• Minimum of 7 years of experience in distribution, transportation, and operations.

• Minimum 5 years supervisory/lead hand experience.

• Must have strong computer skills

• Food industry related experience considered an asset

• Leadership experience a strong asset

• Forklift truck license is required (Caldic Internal training will be provided)

• Knowledge of a warehouse management system and use of RF scanner is important
