Legal Administrative AssistantRobins Kaplan is seeking a Legal Administrative Assistant to support our Business Litigation and Insurance practice groups in our Century City office. The Legal Administrative Assistant provides administrative and legal support to attorneys, other legal professionals, and supervisors in the fulfillment of their responsibilities with the law firm. The position requires a high degree of professionalism, confidentiality, discretion, initiative, flexibility, and dependability.This role is designated for a hybrid work schedule with 3 days in office per week to facilitate collaboration with key stakeholders and 2 remote days per week.Essential functions include:E-filing in state, federal, and appellate courtsDocketing court dates and case deadlinesPreparing fee agreements and client lettersCoordinating depo and trial logisticsRegistering and logging attorney admissionsPreparing legal documents, exhibits, and case-related materialsManaging physical and electronic case filesCoordinating travel logistics and itinerariesProcessing and reconciling expensesOrganizing meeting and event logisticsPreparing and distributing meeting materialsDrafting correspondence and preparing reportsConducting research and drafting summariesAssisting with business development and social media effortsPerforming file openings and conflict checksProcessing bills and preparing invoicesTracking and filing Continuing Education creditsSubmitting and logging memberships and registrationsProviding back-up support to other assistantsPerforming day-to-day administrative functions, such as: scheduling meetings, prioritizing mail, answering correspondence, screening and placing phone calls, organizing and maintaining files, making reservations, etc.Completing additional duties as requestedKnowledge/skills include:Outstanding client service with a can-do attitudeHigh attention to detail, outstanding organizational skills, and the ability to manage time effectivelyStrong verbal and written communication skills, including: spelling, grammar, and proofreading proficiencyKnowledge of legal terminology, life of case timelines, and court processesUse initiative and independent judgment within established guidelinesInterpret data accurately and present information conciselyExercise discretion in handling confidential, controversial, or sensitive informationDemonstrate a high degree of professionalismWork well under pressure to meet tight deadlinesWord, Outlook, Excel, PowerPoint, and document manage system proficiencyEducation and experience:Associate's or Bachelor's degree desired10 years of experience as a Legal Administrative AssistantPhysical demands:Work is performed in a professional office environment and requires the following during the work day:Individual will interact regularly with others verbally, in-person, and via written communicationOperate computer and other office equipment such as a copy machine, printer, telephone, etc.Ability to move/traverse about the office intermittently throughout the day (attend meetings, access file cabinets, obtain supplies from supply room, etc.)Must be able to remain in a stationary position for long periods of time (working at a computer)Repetitive movement (i.e.

heavy computer/keyboard use)May require occasional light lifting (files, copy paper, etc.)In addition to the essential functions outlined above:Individual in this position will provide additional assistance and support as directed by his/her supervisorThis job description is subject to change at any timeThe hourly pay rate for this position is $32.82- $62.56 per hour, depending on experience. This is a non-exempt position eligible for overtime.
