Within WMO, the Specialty Operations teams execute and monitor manual and automated processes to accurately move and protect client assets and account information based on special product requirements or legal orders. This role sits within the Legal Operations team, supporting civil legal orders (subpoenas, freeze orders), internal data requests, and deceased account notifications.Key ResponsibilitiesData Management & Account RestrictionsGather and manage client data accurately and timelyApply account restrictions in accordance with legal orders and internal proceduresMaintain documentation to support compliance and audit readinessLegal Order & Inquiry ManagementHandle civil legal orders, subpoenas, freeze orders, and internal data requestsRespond to moderately complex client and branch inquiries via emailCollaborate with Legal partners, Front-Line Units, and internal departmentsDocumentation Review & ComplianceReview and validate legal/account documentation for accuracy and completenessEnsure adherence to internal legal guidance and risk standardsEscalate discrepancies to leadership or risk teams as appropriateRisk & Process ImprovementIdentify operational risks and improvement opportunitiesEvaluate upstream and downstream impacts of account restrictions and data processesRecommend enhancements aligned with enterprise and regulatory standardsKnowledge SharingMaintain subject matter expertise in legal operations processes and systemsSupport training of new or less experienced team membersEnsure consistent execution of procedures and controlsIdeal Candidate ProfileExperience in legal operations, banking operations, wealth management, or financial servicesStrong data management and documentation review experienceAbility to interpret legal documents (subpoenas, levies, freeze orders, etc.)High attention to detail and risk awarenessStrong written communication skills (email-based environment)Ability to work in a fast-paced, compliance-driven environmentUnderstanding of process controls and operational risk
