Highly collaborative group working closely together in a fast-paced environment to prepare a high volume of business immigration applications.

Candidates should also be flexible to work overtime as needed.Key Responsibilities:Prints/scans documents; saves scanned documents into our electronic file system, FileSiteFollows up with clients and foreign nationals for completed questionnaires and missing documents; requesting checksProcesses incoming and outgoing correspondences, including preparing UPS mailing envelopesMaintains client files, including editing letters and formsAssists with data and time entries requestsUpdates information and uploading documents into an immigration case management systemRequests checks and processes invoicesCalls USCIS and DOS as requestedAssists with light junior paralegal work when neededOther projects/tasks as assignedSome tasks involve billable time but there is no annual billable time requirementQualifications:Skills & CompetenciesExcellent interpersonal and communication skills (oral and written), professional demeanor and presentationHigh attention to detail, outstanding organizational skills and the ability to manage time effectivelyAbility to successfully adapt to changing priorities and work demandsPosition also requires the ability to work under pressure to meet strict deadlines, effectively prioritize multiple tasksProvide outstanding client service, meet high quality standards for services and meet or exceed client expectations. Proactive in seeking innovative ways in which to help othersStrong problem-solving skills, takes initiative and uses good judgment, excellent follow-up skillsEducation & Prior ExperienceBachelor's degree or equivalent experience is preferredMinimum of 6 months to a year of administrative experience supporting multiple people in a fast-paced, deadline driven environmentPrior immigration experience and/or law firm experience is a plusExceptional computer skills with the ability to learn new software applications quicklyTechnologyComputer proficiency in Windows-based software and Microsoft Office Suite applications including Word, PowerPoint, Excel and OutlookUnderstanding of AI capabilities, limitations, and responsible use in a professional environment.Familiarity with, or willingness to learn, firm-approved AI tools (e.g., Copilot, ChatGPT, or similar platforms) to support daily workflow and/or improve work quality.Physical Requirements:While performing the duties of this job, the employee is occasionally required to move from workstation or desk throughout the work area to work independently or with a team to meet with colleagues or supervisor and retrieve work assignments.This position may also be sedentary and require the employee to sit for extended periods of time.Requires manual dexterity to use a phone, enter data into a computer, handle objects, and use office equipment.Some filing is required and this would entail the ability to lift files, open filing cabinets, and bend or stand as necessary.The expected pay range for this position is: $24.73 to $27.47 per hour. Actual pay will be adjusted based on experience, location, and other job-related factors permitted by law.
