Human Resources ClerkResponsible for providing administrative and clerical support to the Human Resources department such as maintaining up-to-date employee records, assisting with recruitment and new hire onboarding processes.Essential Human Resources Job Functions:Answers, screens, and forwards in-coming calls.Records messages and forwards them to the proper person or department. Provides basic and accurate information in-person and via phone/email.Performs basic customer service functions such as answering employee questions, assisting applicants with the application process, etc.Maintains strict confidentiality of all company and employee personnel information.Assists in recruiting efforts such as attending recruiting events, posting job advertisements, etc.Schedules employment interviews and ensures that calendar invites are sent to the applicable department Supervisor(s)/Director(s).Prepares and schedules new employee onboardings.Assists the Human Resources Director with employee new hire onboardings.Maintains active and terminated employee files by accurately filing and scanning.Assists with personnel licensure and certification verification.Assists with communicating accurate, clear, and concise information regarding Human Resources policies and proceduresAssists with conducting random and periodic drug screensAssists with ongoing education activitiesAll other duties as assigned.Essential Administrative Secretary Functions:Provide direct support to the Administrative Assistant to assist in carrying out administrative and operational responsibilitiesGreet visitors, vendors, and community members and provide appropriate assistanceAnswer and direct incoming telephone calls in a professional mannerHandle incoming and outgoing correspondence, including emails and phone callsOrganize and maintain confidential administrative files and records (electronic and paper)Serve as a point of contact for routine inquiries and direct matters to appropriate departments and vendorsMonitor and maintain office supplies; Submit supply requests as neededAssist with administrative processes related to medical staff credentialing and privileging and plan credentialing as directedPrepare and distribute medical staff privileging packets and correspondence as directedReceive and review practitioner applications for medical staff privileges and accompanying documents to ensure accuracy, completeness, and compliance with hospital policies and regulatory requirementsMaintain organized credentialing and privileging files for physicians and allied health professionalsAssist with maintaining and updating the hospital's online provider credentialing database, ensuring practitioner demographic, licensure, certification, privileging, and payer enrollment information is accurate and currentAssist with payer credentialing and recredentialing applications for practitioners, ensuring required documentation is submitted accurately and within required timeframes as directedMaintain payer enrollment records and assist with tracking approval statuses to support uninterrupted billing and reimbursementNotify the Administrative Assistant of credentialing-related issues and assist, as directed, to resolve issuesTrack expiration dates for licenses, certifications, and other required documents for physicians and allied health professionalsMaintain copies of current state licenses, certifications, DEA certificates, malpractice coverage, board certifications, and other required credentials in practitioner files in accordance with hospital policyNotify the Administrative Assistant of upcoming expirations of licensures, certifications, registrations, or any identified discrepancies, deficiencies, or compliance issues regarding practitioner credentialing and privileging files/documentsNotify practitioners of upcoming expirations of required documentsMaintain confidentiality of sensitive hospital, employee, and patient-related informationOther duties as assignedQualifications:High school diploma or equivalent.Desired, but not required: Two years of clerical experience.Required Knowledge, Skills, and Abilities:Strong written and verbal communication skillsAbility to read and write effectivelyAbility to multitask when completing several tasks at onceStrong organizational skillsIntegrity and discretion when working with sensitive company and personnel informationDetailed oriented to properly maintain all files and documentsProficient with computers and Microsoft Office.Physical Requirements:Remain in a stationary position for long periods of timeOccasionally move about the office and facility campus to access file cabinets, office machinery, other departments, etc.Constantly position self to maintain files in file cabinets.Constantly operates a computer and other office machinery such as computer printerAbility to communicate information accurately so others will understand.Ability to observe details at close range.Frequently move boxes, equipment, etc. weighing up to 20 pounds across office for various needs.OSHA Exposure Category C: Not at risk for exposure to bloodborne pathogens.
