HR ClerkPRIMARY FUNCTION: The HR Clerk performs a variety of human resources and front office support duties, including performance management, talent management, and retention records. Most of these duties meet compliance, regulatory, and/or governance requirements. The HR Clerk serves as a primary point of contact for employees, visitors, and other external parties by greeting and assisting individuals and must maintain accurate records (including personnel files), handle mail distribution, and assist with other miscellaneous tasks.
This position requires the ability to maintain various amounts of data, work independently, be flexible, and comply with directions, whether brief or detailed. Because of the confidential and sensitive nature of the information encountered, discretion is also required. In addition, discretion is required due to the confidential and sensitive nature of the information encountered.ESSENTIAL DUTIES AND RESPONSIBILITIES:Serve as the primary greeter and first point of contact for employees, visitors, vendors, candidates, and other guests entering the facility.Screen visitors to determine the purpose of their visit and direct them to the appropriate department or employee.Receive, sort, and distribute incoming mail, packages, and other deliveries to the appropriate departments or employees.Enter and maintain data in all 3rd-party systems, i.e., ADP, PAN, Impact Compliance.Administer employment personnel files weekly, focusing on maintaining up-to-date information, retention policies, and file security.Collect and synthesize data for various Human Resources and UPS reports.During audit season, comply with external auditor requests for personnel records.Provide professional customer service to both internal and external employees.Support US HR teams with assigned projects.Perform follow-up activities for personnel missing HR deliverablesProcess department invoices and purchase orders.Plan and coordinate employee events and activities.Track and monitor attendance in ADP for hourly employees and temporary personnel.Liaise with Jafra DC and the staffing company.Microsoft Office and Canva knowledgeAll other duties as assigned.
TRAVEL: None QUALIFICATIONS EDUCATION: Associate's Degree or High School EXPERIENCE:2 years minimum of clerical experience, preferably in a Human Resources departmentDemonstrated ability to manage multiple tasks concurrentlyProven ability to maintain positive working relationshipsWork experience in a fast-paced and ever-changing environmentSKILLS:Must be able to effectively work with ambiguityMust have tenacity and persistence in order to complete assignments requiring inputs from multiple sourcesStrong attention to detail requiredMust be a highly organized self-starterMust be proactive in identifying potential issues or problems within his/her scope of responsibilityFollow directions and think critically about the assignments givenAbility to maintain a high level of energy, flexibility, professionalism and confidentialityEffective verbal and written communication skills in English.OTHER: Bilingual (English & Spanish) is a plus.
