Requirements
- Complex I-9 Auditing & Correction: Conduct a thorough review and audit of existing I-9 records for all company employees to ensure absolute accuracy in the event of an ICE or DHS audit. Identify common mistakes-such as improper document combinations, missing signatures, or late completions-and properly correct historical errors using compliant methodologies.
- Specialized Visa Management: Expertly process and verify complex employment documents for international staff, specifically managing the unique requirements for J-1, H-1B, Q-1 visas, and EADs.
- Reverification Tracking: Create or maintain a robust tracking system for expiring work authorizations and execute timely reverifications for employees.
- State Compliance Management: Manage and organize a large roster of data to ensure compliance with Maryland State Department of Education (MSDE) requirements.
- HRIS Administration: Navigate and utilize HRIS platforms (ADP Workforce Now and Workday) to generate compliance reports, populate missing fields, review records, and manage employee data accurately.
- Onboarding & Support: Provide excellent, high-touch customer service during peak onboarding season (August/September), assisting new and returning faculty/staff with inquiries and documentation.
- Scope Assessment: Evaluate the current state of both projects upon arrival to determine an estimated timeline and workflow for completion.
- Immediate Proficiency: Proven, walk-in proficiency in complex I-9 auditing; candidates must be able to hit the ground running without introductory training.
- Advanced Work Authorization Knowledge: Deep understanding of the nuances between different immigration categories, knowing exactly which documents are acceptable for J-1, H-1B, Q-1, and EAD statuses rather than treating them all uniformly.
- Regulatory Familiarity: Practical, hands-on experience utilizing the USCIS M-274 Employer Handbook.
- Hands-on experience navigating and utilizing ADP and Workday.
- Exceptional attention to detail and data entry accuracy.
- Strong interpersonal and customer service skills to support a busy, faculty-facing environment.
- Bonus: Fluency in French is highly preferred but not required.
