Secretary/BookkeeperPerforms a variety of general office clerical duties and processes and transmits information to the staff and other organizations as directed. The minimum performance expectations include, but are not limited to, the following:Financial Record Keeping: Record and track all school income, fees, donations, and expenses using district accounting software.Accounts Payable/Receivable: Process invoices, manage purchase orders, issue payments to vendors, and handle staff reimbursements.Budget Tracking: Monitor local school accounts and activity funds (such as sports, clubs, and graduation funds) to ensure spending stays within the approved budget.Reconciliation: Reconcile bank statements, cash boxes, and ledgers on a monthly basis.Reporting: Prepare routine financial statements, audits, and summary reports for the principal and district financial officers.Serve as secretary; provide information; prepare correspondences and related matters; prepare and maintain files and records; assists teachers and parents.Monitor and assure all paperwork processes are completed accurately.Checks and reviews a variety of data for accuracy, completeness, and conformance to established standards and procedures.Maintains records and generates appropriate reports.Operates standard office equipment to include: word-processing and data processing equipment, copiers, laminators, etc.Supplies routine information to staff members, building administrator(s), and others.Complies with and supports school and division regulations and policies.Models non-discriminatory practices in all activities.Knowledge of general accounting principles, budget practices, and financial reporting. Ability to prepare reports and business correspondence. Ability to possess strong organizational skills. Required strong computer skills with a knowledge of Microsoft Excel and various integrated applications.
Excellent writing and communication skills. Ability to work independently and in a team setting. Attention to detail.High School diploma or GED required. 1 year of work experience in a related field required. Accounting experience within a K-12 environment preferred.Must be proficient in Excel.
Must possess word processing and essential office productivity software skills. Demonstrated qualities and personal characteristics necessary for working effectively with students, staff, administrators, and parents are required. Must possess good moral character.Stooping, kneeling, crouching, reaching, pulling, routine lifting up to approximately 20 pounds, grasping, and repetitive motions are required. Other limited physical activities are required. Vocal communication is required for expressing or exchanging ideas by means of the spoken word; hearing is required to perceive information at normal spoken word levels; visual acuity is required for preparing and analyzing written or computer data, determining the accuracy and thoroughness of work, and observing general surroundings and activities; the worker is subject to inside and outside environmental conditions, noise and hazards.
