  • Monitor upstream estimating and proposal progress, coordinate bid-review meetings, follow up on missing information, and perform proposal quality checks before Associate Director approval.
  • Coordinate approvals and submission logistics; maintain quotation, clarification, revision, bid-status, and post-bid records, including win/loss outcomes.

3. Pre-Award Sample Coordination

  • Maintain the centralized pre-award sample tracker and coordinate sample requirements across Design, Procurement, Estimating, Operations, suppliers, factories, and other stakeholders.
  • Support with sample tracking through sourcing, production, internal review, shipment, delivery, client review, approval, rejection, or revision; maintain supporting photographs and documentation.
  • Monitor deadlines and escalate delays, sourcing issues, shipment risks, or overdue approvals that could affect bids, close plans, or anticipated awards.
  • Coordinate transfer of approved sample information to the post-award team.

4. Sales Enablement & Commercial Coordination

  • Coordinate client and internal meetings, including EQS and bid-review meetings, and support tender-document intake.
  • Maintain capability decks, sector/market presentations, product and service sheets, case studies, proposal templates, account-planning tools, close-plan tools, discovery guides, scripts, and credentials.
  • Prepare agendas and supporting materials for pipeline, forecast, bid, and opportunity reviews; record decisions, owners, deadlines, and follow-up actions.
  • Document Growth procedures and sales workflows; identify bottlenecks, reduce duplicate work, and recommend improvements to handoffs, templates, systems, reporting, and automation.
