As our Office Manager, you are the operational backbone of the clinic: you keep the front office running smoothly, own the billing and insurance process end to end, and set the tone for a warm, professional patient experience. We are looking for an organized, detail-oriented, and personable leader who takes ownership, thrives in a fast-paced patient-focused clinic, and wants to grow with us.ResponsibilitiesOversee daily front-office operations and serve as the go-to problem solver for staff and patientsManage the full medical billing cycle: charge entry, claim submission, payment posting, denials and rejections, appeals, and patient statementsVerify insurance benefits, obtain and track authorizations, and clearly explain coverage, copays, deductibles, and patient responsibilityMonitor accounts receivable and follow up on aging claims and outstanding balancesCollect patient payments, manage financial conversations, and set up care/payment plansGreet patients and manage check-ins with a warm, professional attitudeHandle scheduling, patient onboarding, and appointment confirmationsManage incoming calls, emails, and clinic communicationsEnter and manage patient information in the HSWorx EMR systemAssist with marketing events, screenings, and community outreachMaintain office organization, supplies, reporting, and general clinic supportRequired QualificationsPrior medical billing experience (claim submission, EOBs, denials/appeals, and A/R follow-up)Familiarity with billing and coding basics such as CPT and ICD-10 codes and superbillsOutstanding customer service and communication skillsHighly organized, detail-oriented, and reliable, with the ability to manage multiple prioritiesComfortable owning financial transactions, collections, and schedulingProficient with EMR/practice-management software (we use HSWorx; training provided on our system)Preferred QualificationsInsurance experience with strong command of industry nomenclature and vocabulary (for example: verification of benefits, in-network vs. out-of-network, coinsurance, allowable amounts, clearinghouses, ERA/EOB, prior authorization, timely filing)Chiropractic or physical medicine billing experience (visit limits, therapy and modality billing, medical-necessity documentation)Prior supervisory or office-management experienceBilingual (English/Spanish) strongly preferredPositive, professional, and team-oriented personalityWork ScheduleMonday to Thursday: 8:00 AM to 12:30 PM and 2:00 PM to 6:00 PMFriday: 8:00 AM to 12:30 PMCompensation & BenefitsCompetitive pay based on experience, plus performance bonusesPaid time off and holidaysCareer development and growth opportunities within HealthSourcePositive, team-focused clinic cultureHealthSource of Harper's Preserve is an equal opportunity employer.
