Bookkeeper PositionWe are seeking an experienced bookkeeper to join our growing construction organization. This individual will oversee the day-to-day accounting functions while supporting payroll, AP/AR, union reporting, HR administration, and general office operations. The ideal candidate is detail-oriented, highly organized, and comfortable working independently in a fast-paced construction environment.This is an excellent opportunity for someone who enjoys taking ownership of the accounting process and being a key contributor to the success of the business.Essential ResponsibilitiesAccounts Receivable:Prepare and process customer invoices, including AIA and progress billingsMonitor outstanding receivables and proactively manage collectionsApply customer payments and reconcile accountsResolve billing discrepancies with customers and project managersAccounts Payable:Process vendor invoices accurately and timelyMatch purchase orders, invoices, and receiptsPrepare weekly check runs and electronic paymentsReconcile vendor statements and resolve discrepanciesPayroll & Union Reporting:Process weekly or bi-weekly payroll using Paychex and/or ADPMaintain accurate employee payroll recordsPrepare and submit certified payroll reports as requiredComplete union reporting, including dues, pension, health & welfare, and apprenticeship contributionsEnsure compliance with applicable payroll regulationsGeneral Accounting:Perform bank and credit card reconciliationsMaintain the general ledgerPrepare journal entries and month-end closing activitiesAssist with financial reporting and budgetingSupport year-end audits and tax preparationMaintain accurate accounting records and documentationHR & Administrative Support:Coordinate employee onboarding and new hire paperworkMaintain personnel files and employee recordsAssist with benefits administration and employee documentationSupport HR compliance and general office administrationQualificationsMinimum of five years of full-charge bookkeeping or construction accounting experiencePrevious experience within the construction, service, or contracting industry strongly preferredStrong understanding of: Accounts Receivable, Collections, AIA billing, Progress billing, Accounts Payable, Payroll processing, Union payroll reportingIdeally experience with: QuickBooks, Sage, ServiceTrade (preferred), Salesforce (preferred), Paychex and/or ADPIntermediate to advanced Microsoft Excel skills, including formulas, pivot tables, and data analysisExcellent organizational skills with strong attention to detailAbility to prioritize multiple responsibilities and meet deadlinesStrong communication and customer service skillsPreferred QualificationsExperience with certified payrollFamiliarity with prevailing wage projectsExperience supporting project managers and operations teamsKnowledge of construction job costingWhy You'll Love Working HereAt Guardian Fire Services, we value innovation and collaboration.
