As a Supervisor, Front Office, you will be responsible for managing the Front Office Associate teams, including operations, team member management, performance management and process improvements for assigned location(s). This role ensures the team is consistently delivering the highest level of customer service.
This is a Full-Time position working Monday to Friday from 9:00am-5:30pm.Essential Duties And Responsibilities:(30%) RegistrationGreet and checks-in patients scheduled for imaging services; processes payment as neededAnswer phones and handles calls in an efficient and friendly mannerField phone calls appropriately for Center Team MembersAct as liaison between imaging technologists and the patients waiting for exams, and relays messages regarding scanner status and other Clinic informationMaintain organization of the front office lobby area by straightening magazines, organizing coffee supplies and assisting with general office cleanupOrder office supplies as neededMaintain supply of patient information sheetsPush patient imaging via electronic interfacesComplete patient appointment confirmation calls and provide preparation instructions to patientsFax/scan reports, billing information, and medical release forms as requested(15%) SchedulingArrange transportation, interpreters, and hotel accommodations for patients when appropriateEnter and submit patient exam ordersVerify patient exam orders match exam schedulesSchedule referrals and ensures proper authorizations are obtainedSchedule walk-in patientsProcess requests for image orders and CDs from both the referring physicians and patientsMaintains an up-to-date and accurate pending-scheduling listMaintain an up-to-date and accurate database of all current and potential referring physicians(15%) InsuranceVerify patient's insurance coveragePre-certify all patient exams with the patient's insurance companyObtain insurance authorizationsApply knowledge of insurance carriers (example Medicare) and procedures that require waivers to obtain pre-authorization, if needed, prior to patient appointmentsFacilitate Release of Information (ROI) requests for patients, referring offices, other medical facilities, attorneys & insurance companies following Company guidelines(35%) Team Member SupervisionProactively provides support to team members to ensure the highest level of patient satisfaction is reached and maintainedEnsures comprehensive knowledge of the company's policies and procedures for all team membersEstablishes team member schedules to provide for planned time off, ensuring appropriate staffing levels and appropriate Center coverageMonitor and approve timecardsParticipates with the manager in team member planning and the recruitment and hiring processInitiate and participate in team member performance evaluations, compensation and learning/development of team members, including performance improvement plans, disciplinary actions and/or terminationsSchedule and facilitate regular team meetings and team member one-on-onesDevelop and monitor the teams' performance through a quality assurance (QA) processImplements the onboarding and training program for new team membersFosters a team environment, ensuring appropriate communication between departmentsCreates and updates Center's information manuals as neededEvaluate workflows and implement process improvements for the team as appropriateLeads special projects and/or committees, as assigned(5%) Completes other tasks and projects as assignedRequired:High School Diploma, or equivalentFive (5) years' Customer Service experienceFive (5) years' experience in medical front office experience, with demonstrated ability to serve as a resource to others, effectively train and coach team members and identify process improvement opportunitiesTwo (2) years' experience supervising/leading direct reportsAdvanced medical terminology and insurance knowledgeHighly proficient in using computer systems and typing, with advanced working knowledge of Microsoft Office Suite; Outlook, Word, Teams, ExcelPreferred:Associate degree in a medical related fieldBilingualRAYUS is committed to delivering clinical excellence in communities across the U.S., driven by our passion for and superior service to referring providers and patients.
