The Finance Assistant is responsible for accomplishing this mission by preparing and processing checks for vendors and assisting with other department duties.Position Duties:Assists Fiscal Officer with balancing monthly reports and year-end activityAssists with bank reconciliations and payroll data, as neededAttends meeting and serves on internal committees, as requestedBalances account journals monthly and notifies Fiscal Officer of any discrepanciesVerifies Circulation Department register activity and prepares daily bank deposit(s) in the absence of the Deputy Fiscal OfficerMaintains and increases knowledge and skills through attendance at meetings, conferences, training seminars and in-service training sessionsParticipates in strategic planning processPosts expenses to appropriate account journalsPosts journal data to general ledger and submits to Fiscal OfficerPrepares and maintains miscellaneous records and reportsProcesses and maintains independent contractor information such as W9 & OPERS formsPrepares correspondence, as neededVerifies requisitions for accuracyPrepares and manages purchase ordersPrepares and ensures accuracy of checks written to vendorsPrepares and ensures accuracy of electronic paymentsEnsures Library credit card is used according to Library policy and proceduresUpdates status of accounts dailyProvides weekly purchase order, financial, and program speaker updates to managers & supervisorsPerforms additional duties and assignments, as needed or requestedAdministrative & Human Resources Assistant:Manage employee personnel files from creation to microfilmingAssist with annual cash reconciliation and biennial audit preparationAssist Fiscal Officer and Director in the records retention processMaintains electronic employee human resources and benefit databasesAssists with the preparation of Board packets in the absence of the Executive AssistantQualifications:High school diplomaMinimum of one (1) year of bookkeeping experience or an equivalent combination of education, training and experience.Knowledge, Skills, Abilities and Personal Characteristics:Ability to maintain confidentiality and use appropriate judgment in handling information and recordsAbility to manage multiple tasks and assignments, meet deadlines, and anticipate needs of the Fiscal OfficerAbility to work independently with general directionAbility to write business correspondence using correct spelling, grammar and punctuationAccurately copy and record figuresAbility to tactfully and effectively communicate and work with customers and staff in a personable and professional mannerAbility to interact with persons of various social, cultural, economic and educational backgrounds for the purpose of providing professional, courteous, and prompt service.Proficient with online resources; including e-mail and online operating systemsExperience with strategic planning processKnowledge of the American Library Association Bill of RightsKnowledge of Core Competencies required for positionKnowledge of Health and Safety requirementsAdd, subtract, multiply and divide whole numbers; calculate fractions and percentagesDepartment policies and proceduresDevelop and maintain effective working relationships with the Fiscal Officer, Deputy Fiscal Officer and other co-workersMaintain accurate and complete accountsOperate office machines (e.g.

Working Conditions:Work performed in a general library/office environment.
Occasional day and overnight travel by air or automobile will be required for meetings and conferences. Position requires periodic participation and attendance at events and meetings.
