This position serves a critical role within the Office of General Counsel by supporting hearing administration activities, coordinating communications, preparing reports and correspondence, maintaining confidential records, and assisting with the day-to-day operations of the Fair Hearing Administrative team. The ideal candidate will possess strong organizational and communication skills, demonstrate attention to detail, have experience managing multiple priorities in a fast-paced environment, and be proficient in Microsoft Office applications. The preferred candidate will have the ability to work independently, maintain confidentiality, and effectively interact with staff, stakeholders, and the public while supporting grant-related administrative functions.Essential Functions Under general supervision, serves as an Office Assistant for the Office of the General Counsel (OGC) in the Illinois Department of Healthcare and Family Services Produces all system generated correspondence, such as notices of hearings and dismissals, and all system generated reports of section activities Serves as a liaison between OGC's Bureau of Administrative Hearings and the HFS Division of Information Systems regarding equipment and programming problems, and arranges for receiving new equipment and for repairing existing equipment Updates logs of completed data entries Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated aboveMinimum Qualifications Requires knowledge, skill, and mental development equivalent to completion of high school and one (1) year of related office experience Requires ability to type accurately at 35 words per minutePreferred Qualifications Two (2) years of experience as a receptionist in a public administrative or government office Two (2) years of experience with administrative hearings or appeal processes Two (2) years of experience in data entry and case management systems One (1) year of experience managing documents and records in an office setting One (1) year of experience preparing and drafting reports for supervisorsConditions of Employment Requires completion of a background check and self-disclosure of criminal history Requires the ability to utilize and maintain state issued equipment such as a laptopAbout the Agency At the Illinois Department of Healthcare and Family Services (HFS), we value staff as our greatest asset.
