Facilities SpecialistThis role is all about keeping office operations organized and efficient day to day. The right candidate is a natural problem-solver who takes pride in creating a well-run workspace, comfortable juggling facilities coordination, light admin work, and vendor relationships all at once.Key responsibilities include:Act as the go-to person for office and facilities-related questions or issuesTrack and restock supplies, including office materials, kitchen/breakroom items, and PPEArrange logistics for internal meetings, events, catering orders, and cleaning vendorsHandle invoice and expense processing, ensuring proper coding and recordkeepingWalk the office regularly to spot maintenance or cleanliness issues before they escalateHelp coordinate desk moves, workspace setups, and hybrid seating arrangementsLead onboarding walkthroughs and set up workstations for incoming employeesRun routine safety and equipment inspectionsManage building access protocols and keep seating/occupancy data currentPartner with IT, HR, and Admin teams, plus outside property management contactsFlag opportunities to streamline facilities and office workflowsQualifications include:At least 3–5 years in a corporate facilities or office coordination role, ideally within a business services settingSolid organizational skills with the ability to manage multiple prioritiesProfessional, clear communicatorTakes ownership and accountability for the workplace environmentComfortable in Microsoft Office (Outlook, Excel, Word, Teams, PowerPoint)Familiarity with Concur or similar space/resource management tools a plusApproachable, proactive, and personable demeanorSelf-starter who can troubleshoot independentlyBachelor's degree preferred; relevant experience will be considered in lieu of degreePerks include:Long-term project stability with room to growA hands-on role with real ownership over the day-to-day work environmentRegular collaboration with cross-functional teams and leadershipBroad exposure to facilities, operations, and vendor management functionsMeaningful, tangible impact on office operationsAddison Group is an Equal Opportunity Employer.
