Dean, we are committed to building the next generation of technical leaders in electrical, engineering, and cybersecurity industries.The Facilities Coordinator supports the day-to-day operations, tenant experience, and space planning of the organization's multi-story headquarters building, while also assisting with remote operational support for several additional facilities.
This early-career role focuses on vendor coordination, service request management, workplace support, and documentation, under the guidance of the Corporate Facilities Manager. All facilities services, operations, and maintenance are delivered by external service providers.Key Responsibilities – Headquarters Operations (Primary Focus)Support daily operations of the HQ building and assist with routine walkthroughsServe as an on-site point of contact for employees, visitors, and vendorsMonitor cleanliness, comfort, lighting, and general condition of common areasAssist with building schedules, access requests, and operational noticesTrack and follow up on service issues to ensure timely resolutionRemote Facilities Support (Secondary Focus)Provide coordination support for assigned remote facilitiesServe as a facilities contact for basic requests and escalationsTrack service requests and vendor activities remotelyAssist with reporting, documentation, and follow-up for remote sitesTravel to remote locations periodically as requiredVendor Coordination & Service RequestsEnter, track, and close work orders in CMMS or service platformsCoordinate vendor access, badging, and escorts as requiredMaintain vendor contact lists and service schedulesReview service reports and completion documentationEscalate service delays or issues to the Corporate Facilities ManagerFacilities Operations & Maintenance (Outsourced)Support preventive maintenance tracking for building systemsAssist with inspection scheduling, testing, and certificationsCollect and organize maintenance reports and deficiency logsHelp maintain asset lists, warranties, and service recordsSupport emergency response coordination as directedTenant Experience & Workplace ServicesServe as a responsive, customer-service–focused contact for facilities-related requests and inquiriesProvide timely updates on request status, maintenance activities, and facility changesSupport conference room setups, meetings, and eventsAssist with employee onboarding and move-in supportHelp communicate planned maintenance and service interruptionsSupport executive and VIP visits at HQSpace Planning & Move SupportMaintain floor plans, seating charts, and space dataAssist with office moves, seating changes, and furniture coordinationSupport Moves, Adds, and Changes (MAC) activitiesCoordinate with furniture vendors and moversCoordinate small projects or office improvements under the guidance of the Corporate Facilities ManagerEnsure space changes align with safety and building standardsBudget Tracking & Administrative SupportAssist with tracking facilities expensesHelp review vendor invoices for accuracySupport budget reporting and documentationAssist with CapEx tracking and project filesIdentify cost-saving opportunities for reviewMaintain organized records, including maintenance logs, compliance documentation, and asset informationHealth, Safety & Compliance SupportSupport safety inspections and auditsAssist with emergency preparedness activities and drillsHelp maintain incident and safety logsTrack compliance documentation and certificationsEscalate safety concerns promptlyReporting & DocumentationMaintain facilities databases and document repositoriesAssist with weekly and monthly reportingTrack KPIs such as response times and issue resolutionDocument SOPs and basic proceduresProvide regular status updates to the Corporate Facilities ManagerQualifications & ExperienceRequired:4+ years of experience in facilities, property management, or operations with a high school diploma / GEDStrong organizational and communication skillsAbility to manage multiple tasks and coordinate vendorsProficiency with Microsoft Office toolsPreferred:At least 4 year of prior related experienceExperience working with external service providersFamiliarity with CMMS or service request systemsExposure to corporate or commercial office environmentsBachelor's degree or higher in a related fieldWe offer an excellent benefits package including:A competitive salaryMedical, dental, vision, life, and disability insurancePaid time offTuition reimbursement401k Retirement PlanMilitary Reserve pay offsetPaid maternity leaveAbilities:Exposure to computer screens for an extended period of timeSitting for extended periods of time.Reach by extending hands or arms in any direction.Have finger dexterity in order to manipulate objects with fingers rather than whole hands or arms, for example, using a keyboard.Listen to and understand information and ideas presented through spoken words and sentences.Communicate information and ideas in speaking so others will understand.Read and understand information and ideas presented in writing.Apply general rules to specific problems to produce answers that make sense.Identify and understand the speech of another person.Pay RangeUSD $29.42 - USD $33.15 /Hr.
