Facilities ManagerReports To - Chief Security OfficerStatus - ExemptShift - Mon-Fri 8a-4:30p with on call responsibilitiesLocation - Refer to Offer LetterSummaryThis position is responsible for maintenance of the facilities, buildings, grounds, and parking lots, including mechanical, water, heating, ventilation, and air conditioning systems (HVAC), ensuring our locations are neat, clean, inviting and safe for staff, volunteers, patients and visitors. These duties are either performed by self, other staff, volunteers, subcontractors, or vendors with approval from the leader. It is imperative that this exempt position exhibit Four Seasons' Values through every interaction and utilize industry standard best practices for effective performance in this role.Essential Duties & ResponsibilitiesWork to achieve performance goals, pursue progress toward my learning plan (MLP) and consistently demonstrate Four Seasons values and competenciesCompletion and/or oversite of facility repair, maintenance, inspections, and cleanliness of the floors, walls, bathrooms, outside grounds, building exterior, life safety equipment and other areasCollaboratively develop, coordinate and facilitate the preventative maintenance program for all agency facilities and equipment, playing an active role in facility repair and preventative maintenance needs, ensuring all life safety requirements are metRespond appropriately to emergencies or urgent issues as they arise and provide prompt response to all maintenance request needsProvide leadership, mentorship, and encouragement to members of the Facilities Team including technicians, volunteers, and vendors, assuring that the competency of team members are in alignment with tasks and responsibilities, while providing coaching, mentorship and training to ensure growth and development is obtainedBe a part of a collaborative Facilities Team that ensures all locations are neat, clean, organized, inviting and safe for all individualsEnsure that agreed-upon work by staff or contractors has been completed satisfactorily, including follow-up needs for deficiencies or outstanding itemsReport any issues, irregularities, deficiencies, and/or unsafe conditions immediately to the Chief Security OfficerManage improvements of facility related renovations, expansions, and upgrades within budget parameters and timeline requirements, as directedAssess and manage the competency of facility team members to ensure safe work environmentsKnowledge, Skills, and AbilitiesWorking knowledge of all construction trades (including but not limited to electrical, plumbing, HVAC, fire suppressions systems, interior finish work and carpentry)Working knowledge of life safety standards, work environment and fire prevention safetyAbility to acquire, apply and share technical and administrative knowledge and skills associated with description of duties as assignedKnowledge of HIPAA privacy policiesRead and understand electrical, oxygen/gas, water, HVAC controlsExcellent organization skills, demonstrating excellent attention to detail and accuracyExcellent written, oral, and collaborative communication skills, consistently demonstrating the ability to speak effectively, listen to understand, express facts and ideas clearly and convincingly, demonstrating excellent interpersonal skills and superior customer serviceBasic skills in MS Office: Outlook, Word, Excel, etc.Ability to work independently with minimum supervision, working under pressure to meet deadlinesAbility to anticipate, determine goals, identify relevant information, set priorities, plan, prioritize, and deadlines, while taking initiative and utilizing innovative techniques to achieve objectives and needs of the organizationAbility to identify and recognize unsafe conditions or work practicesAbility to make sound decisions and provide valid recommendations by using facts, experiences, common sense, risk assessment and analytical thought, in a collaborative way to ensure positive movement is achievedAbility to interact with various departments throughout the organizationAbility to manage a team, be an active team player, positively collaborating with team members to achieve goals, and ensure efficient, timely and accurate completion of maintenance needsMinimum QualificationsEducation:High School Graduate or equivalentCourses related to facility maintenance or related experienceAssociate's degree preferredExperience:Minimum five years general maintenance experienceMinimum five years maintenance and janitorial staff supervisionBasic MS Office productsLicensures & Certifications: (if applicable)Valid driver's license and proof of automobile insuranceLicensed Tradesman PreferredSummary of Physical RequirementsWalking, standing, bending, reachingOperate company vehiclesFlexion/extension of arms/wristCrouching, twisting, stooping, squatting, kneeling, climbing (stairs/other)Pushing, pulling, lifting/carrying 50 lbs.Working in non-air conditioned, tight spacesHand dexterity to include gripping/grasping, pushing/pulling and writingOperating a variety of equipment (ie; snow blower, lawnmower, various hand tools, pressure washer)Ability to lift, carry, push and pull up to 100 pounds with help of another person or equipment, occasionallyIntent and FunctionAll descriptions have been reviewed to ensure that only essential functions and basic duties have been included. The organization maintains its status as an at-will employer.Other Duties:Ensure set up and break down of meeting spaces as necessary while also ensuring the meeting spaces available are neat, clean and in good working order to meet the needs of the organizationEnsure all buildings are stocked with necessary equipment, materials and suppliesUnderstand services & responsibilities of staff and volunteers under their supervisionActively participate in Environment of Care Committee with focus on life safety issues and workplace safetyAbide by all Four Seasons privacy, confidentiality and HIPAA policiesEnsure buildings meet health and safety requirementsConduct and prepare for on-going audits, walk-throughs, and inspectionsMaintain accurate records (written and electronic), actively using organization's SharePoint/document repository system for electronic record retention storagePerform detailed work using and promoting industry standard best practice and high-level accuracyUpdate skills through participation in seminars and continuing education opportunitiesDevelop excellent rapport with others, function as a team member and work independently with minimum supervisionCollaboratively complete budget practices and invoicing for Facility needsDemonstrate Four Seasons' values at all timesConsistently utilize technology as Four Seasons' provides and makes possibleSubmit weekly big rocks to leader to ensure consistent communication and agreement on prioritiesWork collaboratively with the Facilities Committee, Environment of Care Committee, Safety Officer and HIPAA Security OfficerAssist and/or cover for other members of the Administrative & Technology Team during times of PTO, etc.Other duties as assigned
