Administrative Support SpecialistUnder the direction of the Director of Facilities Management, provides administrative support services to facilitate compliance to regulatory and accreditation body standards. Performs a wide range of administrative and office support activities for Facilities Management functions and/or other HAMC functions to facilitate the efficient operation of the organization.General requirements include performing all job responsibilities in alignment with the mission and vision of the organization, maintaining current knowledge in present areas of responsibility, attending staff meetings and completing mandatory in-services and requirements, and wearing protective clothing and equipment as appropriate.General skills include reporting skills, administrative writing skills, Microsoft Office skills, managing processes, organization, analyzing information, professionalism, problem solving, supply management, inventory control, verbal communication, and exceptional time-management, planning, and administrative skills.Working conditions require close attention to task for work to be accurately completed, adaptability to changes, and periods of high stress and fluctuating workloads.Physical requirements and demands include near normal hearing and vision, good manual dexterity, good eye-hand foot coordination, ability to perform repetitive tasks/motion, and exerting 10 pounds of force occasionally in carrying, lifting, pushing, pulling objects.The mission statement emphasizes the commitment to the delivery of superior, safe, cost-effective healthcare through the provisions of education prevention, diagnosis and treatment.Job specific competencies include interacting with employees and vendors, providing word processing support, preparing and modifying documents, assisting with meeting agendas, compiling and submitting reports, maintaining regulatory and accreditation documents, supporting maintenance requests, and participating in committees and special projects.Professional requirements include following the code of conduct policy, adhering to dress code, completing annual educational requirements, maintaining patient confidentiality, reporting to work on time, wearing identification, completing in-services, attending annual review and department in-services, ending conversations in a positive manner, complying with ethical business practices, communicating the mission statement, ensuring compliance with policies and procedures, and participating in continuous quality improvement activities.Guest relations standards include treating others in a friendly, helpful manner, referring co-workers to proper sources, interacting with others in a professional and friendly manner, taking interest in others, maintaining an open line of communication, being familiar with the hospital and services it offers, greeting visitors immediately, presenting a positive image, and remaining friendly and cooperative under all conditions.Other duties include complying with federal, state and local laws and regulations, using user access to applicable ePHI systems only as necessary, and reporting concerns to supervisor or compliance officer if illegal or unethical behavior is suspected.Education, credentials, and experience requirements include a high school diploma or GED, two years of data processing experience, hospital or medical information systems experience preferred, experience with healthcare accreditation policies and procedures a plus, and ability to communicate in English, both verbally and in writing.
