Administrative AssistantThe Office of Human Resources is seeking a full-time temporary Administrative Assistant to provide comprehensive administrative and operational support to the Employee Relations and Talent Acquisition & Engagement units. The position will handle confidential HR information, recruitment administration, customer service, reporting, records management, and support for HR technology and special projects, including the CUNYWork (Workday) implementation.Key ResponsibilitiesEmployee Relations Administrative Support – 45%Schedule meetings and coordinate calendars for Employee Relations activities.Maintain confidential employee relations files and case documentation.Prepare correspondence, reports, and other HR-related documents.Organize and maintain employee relations records and supporting documentation.Respond to routine employee and departmental inquiries.Provide day-to-day administrative support to the Employee Relations team.Handle sensitive and confidential employee information with discretion.Talent Acquisition & Engagement Support – 25%Assist with recruitment and talent acquisition administrative activities.Monitor recruitment activities and maintain accurate recruitment records.Maintain employment and candidate-related documentation.Respond to routine inquiries from applicants, employees, and hiring departments.Prepare recruitment correspondence, reports, spreadsheets, and other documents.Assist HR staff with tracking and coordinating recruitment activities.HR Inbox & Customer Service – 10%Monitor shared Human Resources email inboxes and ensure timely responses.Review and route inquiries to the appropriate HR staff member.Respond to routine HR questions and requests.Maintain inquiry and activity tracking logs.Provide professional and responsive customer service to employees, applicants, and departments.CUNYWork (Workday) Implementation Support – 10%Assist with data validation and review HR data for accuracy and completeness.Support testing activities related to the CUNYWork (Workday) implementation.Assist with documenting HR processes, procedures, and workflows.Coordinate training-related activities and maintain training documentation.Support HR technology implementation activities and other related projects.Assist with identifying and reporting data or process issues during implementation.Reports, Special Projects & General Administrative Support – 10%Prepare reports, spreadsheets, presentations, and other HR documents.Compile and organize information for reports and special projects.Assist with various Human Resources projects and initiatives.Maintain organized electronic and/or paper records.Provide general administrative and clerical support to the HR Office.Perform other related duties and special assignments as needed.Required QualificationsHigh school diploma or equivalent; associate or bachelor's degree in Human Resources, Business Administration, or a related field is preferred.Previous administrative or office support experience, preferably in a Human Resources environment.Strong organizational and time-management skills.Excellent written and verbal communication skills.Ability to handle confidential and sensitive information professionally.Strong attention to detail and accuracy.Proficiency with Microsoft Office, including Word, Excel, and PowerPoint.Ability to manage multiple priorities and meet deadlines.Strong customer service and interpersonal skills.Preferred QualificationsExperience supporting Employee Relations, Talent Acquisition, or HR operations.Experience with Workday or other HRIS systems.Experience with data validation, reporting, spreadsheets, and HR records management.Familiarity with recruitment processes and HR administrative procedures.Experience working with confidential employee or personnel information.The Nexus Staff Difference:Our outstanding healthcare coverage, including dental and vision, begins in just 30 days after you join us.We offer weekly payments via ACH (Automated Clearing House).Serving as Prime Vendors to New York State and New York City for over 10 years.
