Responsibilities include greeting visitors, answering inbound calls, coordinating meeting room logistics, and ensuring the proper setup and presentation of food and beverages for meetings, conferences, and corporate events.In addition to reception duties, this role supports mail and office services operations and assists with general facilities tasks to ensure a seamless and professional workplace experience.What You'll DoReception & Concierge ServicesProvide 5-star customer service to employees, visitors, and clientsAnswer incoming telephone calls and route callers to the appropriate departmentGreet visitors, log them into the visitor system, and ensure NDA complianceActivate temporary employee badges and manage access cardsEscalate security concerns when necessaryMaintain a clean, professional, and organized reception areaTrain backup personnel on reception procedures and policiesHospitality & Workplace ExperienceStock and maintain food and beverage areas including pantry, barista stations, kitchens, and conference roomsAssist with meeting room setups and breakdowns for onsite meetings and eventsCoordinate catering and hospitality support for meetings and conferencesMaintain cleanliness and presentation standards across hospitality areasMail & Office Services SupportSort and distribute mail and packagesReceive and track inbound deliveries and notify employeesProvide backup support for mail and office services operationsMonitor office supplies and replenish inventory as neededAdministrative & Operational SupportSchedule meeting rooms and assist with administrative tasksPerform light facilities support such as organizing workspaces and minor maintenance tasksProactively identify additional tasks during downtimeBuild professional relationships with employees, clients, and internal teamsWhat We're Looking ForRequiredHigh School Diploma or equivalent1–3 years of experience in reception, concierge, hospitality, or administrative rolesStrong verbal and written communication skillsProficiency with Microsoft Office Suite and ability to learn workplace technology systemsStrong organizational and time-management skillsAbility to multitask and prioritize responsibilities efficientlyProfessional appearance and adherence to company policiesPreferredExperience working in a corporate office or workplace services environmentExperience supporting hospitality or meeting coordinationCompetenciesClient-focused with commitment to 5-star service deliveryStrong integrity and professional business ethicsExcellent verbal and written communication skillsStrong organizational skills with attention to detailAbility to maintain confidentiality and handle sensitive informationResults-driven with strong time management and prioritization skillsAdaptable and capable of managing multiple responsibilities simultaneouslyCollaborative team player with strong interpersonal skillsProactive mindset with ability to work independentlyPhysical RequirementsAbility to lift or move packages up to 40 lbs.Ability to walk, bend, kneel, stand, or sit for extended periodsManual dexterity for operating office equipment such as phones, copiers, and scannersVision abilities including close vision, distance vision, peripheral vision, depth perception, and focus adjustmentAbility to work on a computer for extended periodsTravel: None or negligibleCompensation: The expected compensation is an estimate, and the final offer will depend on skills, experience, location, and other job-related factors.
