This is a highly operational role that goes well beyond calendar management.
You'll own the day-to-day operating rhythm of the Marketing organization, ensuring the leader is prepared, priorities stay coordinated, and critical meetings, communications, and follow-ups happen seamlessly.You'll partner closely with senior marketing leadership and serve as a trusted point of coordination for employees, customers, agencies/vendors, candidates, and external partners. Success in this role comes from exceptional organization, judgment, attention to detail, and the ability to keep many moving pieces aligned in a fast-growing environment.ResponsibilitiesOwn complex calendar management for the Head of Marketing, balancing shifting priorities while ensuring time is allocated intentionallyEnsure the leader is prepared for every day and every meeting by proactively managing agendas, materials, context, logistics, and follow-ups so time is used effectively and decisions move forwardSupport forward-looking calendar planning, coordinating recurring operating cadences including marketing reviews, leadership meetings, campaign planning sessions, Marketing All Hands, and other cross-functional forumsPartner with agencies, vendors, and external partners to coordinate executive meetings, events, and other engagementsSupport executive inbox management, helping prioritize communications, triage requests, and ensure timely follow-upCoordinate domestic and international travel, including last-minute changes, ensuring seamless logisticsSupport planning of team offsites, celebrations, and milestone recognition events, coordinating logistics end-to-end from venue, budget, and vendor coordinationContinuously improve how the Marketing leadership team operates by identifying opportunities to make processes more efficient, scalable, and reliableRequirements3-5+ years of experience supporting senior leaders (CMO, VP Marketing, Head of Marketing, or similar) in a high-growth technology company, venture capital or private equity firm, or professional services environmentYou understand how marketing organizations operate and have experience supporting marketing operating rhythms, campaign cycles, and fast-moving go-to-market teamsExceptional organizational skills with the ability to manage multiple competing priorities without dropping detailsOutstanding written and verbal communication skills, with strong judgment about when and how to communicate on behalf of executivesDemonstrated ability to coordinate complex cross-functional initiatives involving many stakeholdersExperience managing complex calendars, domestic and international travel, executive communications, and recurring operating cadencesExperience supporting team offsites, celebrations, and milestone events with strong attention to detailComfortable working with senior leaders, customers, agencies, candidates, and external partners with professionalism and executive presenceProactive, resourceful, and highly autonomous. You anticipate needs before they become problems.High attention to detail and a strong sense of ownership.
