The Role

HYPE10 is seeking a highly organized, proactive, and resourceful Executive Assistant to work closely with the CEO.

This person will serve as a trusted partner to the CEO, helping manage their time, priorities, communications, and day-to-day responsibilities. The role will also support select office operations and administrative needs to help ensure the HYPE10 office runs smoothly.

The ideal candidate is comfortable working in a fast-paced environment, exercises strong judgment, and can anticipate needs before they arise.

This is a full-time, in-office position based in New York City. The Executive Assistant will be expected to work from the HYPE10 office five days per week. This is not a hybrid or remote role.

Responsibilities

Executive Support

  • Manage a complex and frequently changing calendar, including internal meetings, client calls, sales conversations, interviews, and external commitments
  • Prioritize scheduling requests based on urgency, business impact, and the CEO’s priorities
  • Prepare the CEO for meetings by organizing agendas, background information, key documents, and follow-up items
  • Monitor upcoming commitments and ensure the CEO is prepared for important meetings, deadlines, and decisions
  • Coordinate travel arrangements, reservations, itineraries, and related logistics
  • Assist with email organization, correspondence, and follow-ups as needed
  • Handle sensitive and confidential information with professionalism and discretion

Communication and Follow-Through

  • Track action items and commitments arising from meetings and conversations
  • Follow up with internal team members and external partners to ensure deadlines and next steps are completed
  • Draft and edit emails, meeting notes, presentations, and other communications
  • Help the CEO maintain visibility into important company, client, and team priorities
  • Serve as a reliable point of contact between the CEO and employees, clients, candidates, vendors, and other external stakeholders

Office Operations Support

  • Help manage day-to-day office needs, including supplies, deliveries, vendors, and general organization
  • Coordinate with building management and service providers as needed
  • Help ensure conference rooms, common areas, and office resources are organized and ready for use
  • Support the planning of team events, client visits, meetings, and office gatherings
  • Assist with new-hire office setup, including equipment, supplies, and workspace preparation
  • Identify and resolve minor office issues before they disrupt the team

Qualifications

  • 2+ years of experience in an executive assistant, administrative, office operations, project coordination, or similar role
  • Exceptional organizational and time-management skills
  • Strong written and verbal communication skills
  • High attention to detail and a demonstrated ability to follow through
  • Ability to manage multiple priorities and adapt quickly when plans change
  • Strong judgment and the ability to determine what requires immediate attention
  • Proactive, resourceful, and comfortable solving problems independently
  • Willingness to take ownership of both executive support and routine office needs
  • Professional, polished, and able to communicate effectively with a wide range of stakeholders
  • High level of discretion when handling confidential business and personal information
  • Comfortable working directly with a CEO in a fast-paced, entrepreneurial environment
  • Proficiency with Google Workspace, Slack, and other modern productivity tools

  • The CEO’s calendar and priorities are organized and well managed
  • Important meetings, deadlines, and follow-ups do not fall through the cracks
  • The CEO is consistently prepared with the information and materials they need
  • The office is organized, well stocked, and operating smoothly
  • Internal and external communication moves quickly and professionally
  • Issues are anticipated and resolved before they become distractions
  • The CEO is able to spend more time focused on company growth, clients, leadership, and strategic decision-making
