Key Responsibilities

  • Manage and maintain the CEO's complex and frequently changing calendar, including internal and external meetings, calls, appointments, events, and other commitments.
  • Serve as a strategic gatekeeper, appropriately prioritizing competing requests based on urgency, organizational priorities, relationships, and the CEO's objectives.
  • Anticipate scheduling conflicts and proactively develop solutions and alternatives.
  • Prepare the CEO for meetings, events, calls, and external engagements by compiling concise briefing materials, background information, agendas, participant information, relevant correspondence, and key discussion points.
  • Track commitments, decisions, and action items arising from meetings and ensure appropriate follow-up.
  • Draft and edit emails, letters, memos, meeting notes, and other correspondence on behalf of the CEO.
  • Manage incoming requests and communications, determining priority and appropriate next steps.
  • Plan and manage detailed travel arrangements, including air travel, ground transportation, accommodations, itineraries, and related logistics.
  • Prepare and process expense reports accurately and in a timely manner.
  • Coordinate logistics and materials for Board of Directors and executive leadership meetings, including scheduling, agendas, meeting materials, and follow-up.
  • Maintain records, meeting materials, and confidential executive documents in an organized and accessible manner.
  • Assist with presentations, reports, special projects, and executive-level initiatives as needed.
  • Manage the CEO's contacts, files, records, expenses, and other administrative requirements.
  • Support special projects and organizational initiatives requiring coordination across multiple departments or external stakeholders.

Qualifications

  • 3+ years of progressive Executive Assistant, Scheduler, or similar experience, preferably supporting a senior executive or senior government leader, or other high-level executive.
  • Experience on Capitol Hill, public policy, or a similarly fast-paced legislative environment strongly preferred.
  • Experience in a technology or SaaS company preferred.
  • Demonstrated experience managing complex, high-volume executive calendars with frequently changing priorities.
  • Exceptional written and verbal communication skills, including the ability to draft polished executive correspondence.
  • Excellent organizational skills and extraordinary attention to detail.
  • Ability to manage multiple competing priorities and remain calm, flexible, and solutions-oriented under pressure.
  • Advanced proficiency with G-suite and Microsoft Office.
