Position Summary
We are looking for an experienced and highly organized Executive Assistant to provide exceptional administrative support to our executive leadership team. This position plays a key role in managing daily operations, coordinating executive priorities, and ensuring seamless communication across the organization. The ideal candidate is dependable, detail-oriented, and able to manage confidential information with professionalism while thriving in a dynamic remote work environment.
Key Responsibilities
Maintain executive calendars by scheduling appointments, meetings, and other business commitments.
Coordinate business travel arrangements, including transportation, lodging, flights, and detailed travel itineraries.
Draft, edit, and proofread reports, presentations, correspondence, and other executive-level documents.
Manage incoming emails, phone calls, and communications, responding or routing inquiries appropriately.
Plan and coordinate meetings by preparing agendas, scheduling attendees, documenting meeting minutes, and monitoring follow-up tasks.
Organize and maintain confidential executive files, records, and business documentation.
Assist in coordinating strategic projects, tracking milestones, and ensuring deadlines are met.
Conduct research, gather information, and prepare reports to support executive planning and decision-making.
Act as a central point of communication between executives, employees, clients, vendors, and external partners.
Prepare expense reports and assist with financial tracking, budgeting, and administrative documentation.
Provide administrative assistance for company initiatives, departmental projects, and other business activities.
Perform additional executive support responsibilities to promote efficient and effective business operations.
Qualifications
High school diploma or equivalent is required; an Associate's or Bachelor's degree in Business Administration or a related field is preferred.
Prior experience in an Executive Assistant, Administrative Assistant, Office Administrator, or similar administrative support position is preferred.
Outstanding written, verbal, and interpersonal communication skills.
Excellent organizational, planning, and multitasking capabilities.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint) and Google Workspace.
Demonstrated ability to manage multiple priorities while meeting deadlines in a fast-paced environment.
Strong attention to detail with excellent analytical and problem-solving abilities.
Professional demeanor with sound judgment, discretion, and decision-making skills.
Ability to maintain strict confidentiality when handling sensitive business information.
Self-directed with the ability to work efficiently and independently in a remote setting.
