Executive AssistantHot JobAdministration Corporate - Pompano Beach, FL 33060OverviewPosition Type Full Time Job Shift DayDescriptionThe Executive Assistant to the CEO is responsible for providing comprehensive support to the CEO, Board of Directors, and Executive Team and managing the organization's office operations, including working remotely with the Washington State Opportunity Scholarship (WSOS) team. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.Education & ExperienceBachelor's degree preferred (Business Administration, Communications, or related field)Minimum five (5) years of experience in executive-level support, or an equivalent combination of education and experienceProven experience in high-level administrative work, board meeting support, and calendar managementExperience in healthcare, nonprofit, or regulated industries preferredSkills & CompetenciesExceptional organizational skills —must be highly structured and detail-oriented, capable of managing multiple priorities with precisionExcellent note-taking and transcription abilities —must be able to capture and summarize discussions accuratelyStrong written and verbal communication skillsProficiency in Microsoft Office Suite, Google Workspace, and project management toolsAbility to work independently with minimal supervision while exercising sound judgmentStrong confidentiality and discretion in handling sensitive informationProblem-solving and critical-thinking skills —ability to anticipate issues and find solutions proactivelyCertificates, Licenses & RegistrationsValid Florida Driver's LicenseEssential Duties & ResponsibilitiesManage and maintain the CEO's schedule, including coordinating appointments, meetings, and travel arrangementsEnsure seamless communication between the CEO and all internal/external stakeholdersServe as the primary liaison between the CEO and staff, board members, and community partnersPrepare and distribute meeting agendas, reports, and briefing materials for the CEORecord and transcribe detailed and accurate meeting notes for all board meetings and any meetings involving the CEODistribute meeting minutes in a timely manner and track follow-up actionsMaintain electronic and physical records of all board documents, reports, and key organizational policiesAssist with special projects assigned by the CEO, ensuring timely completionConduct research and compile data to support decision-makingAssist in policy development and grant writing as neededCoordinate logistics for company-wide events, retreats, and executive functionsHandle confidential correspondence, emails, and phone calls on behalf of the CEOMonitor incoming mail, faxes, and other communications, ensuring prompt responseFacilitate IT and operational support needs in coordination with the IT departmentProvide facility tours for visitors and key stakeholders as neededServe as a resource for executive-level staff and provide administrative support as neededAssist in legislative matters and advocacy efforts for the organizationEnsure smooth day-to-day operations within the executive office by proactively addressing potential issuesPhysical Demands & Work EnvironmentAbility to sit for extended periods while using a computer and telephoneOccasionally required to stand, walk, stoop, kneel, or lift up to 25 poundsThe work environment is typically moderate in noise level and primarily office-basedEmployee ChildcareStep Up Scholarship for Students with Unique Abilities (Pre-K up to 8th grade).
